As a Payables & Expense Manager to own and continuously improve our end-to-end procure-to-pay and employee expense processes. This role will be responsible for day-to-day AP and expense operations while also serving as the system owner for Ramp, Airwallex, and their integrations with NetSuite.

The ideal candidate is detail-oriented, process-driven, and comfortable operating in a fast-growing, multi-entity environment. You will play a critical role in strengthening internal controls, scaling workflows, and ensuring accurate, timely financial reporting while partnering closely with stakeholders across the business.

Responsibilities:

Accounts Payable & Vendor Payments

• • Own the full AP lifecycle: invoice intake, coding, approvals, payment execution, and posting in NetSuite
  • Manage domestic and international vendor payments via Ramp and Airwallex including ACH, wire, virtual cards, and FX
  • Maintain vendor master data, including banking details, tax documentation, and compliance requirements
  • Monitor AP aging, cash disbursements, and payment timing in coordination with Accounting and Treasury
  • Support month-end close activities, including accruals, reconciliations, and AP-related reporting

Expense Management (Ramp)

• • Serve as system owner for Ramp, including corporate cards, employee reimbursements, and approval workflows
  • Configure and maintain spend policies, categories, limits, and role-based approval chains
  • Ensure accurate mapping from Ramp to NetSuite (GL accounts, cost center)
  • Act as a primary point of contact for employee and executive expense questions while enforcing policy

Systems & Process Optimization

• • Own and maintain integrations between Ramp, Airwallex, and NetSuite, including troubleshooting sync and posting issues
  • Drive continuous improvements to procure-to-pay workflows, documentation, and internal controls
  • Assist with scaling AP and expense processes across multiple legal entities, currencies, and geographies
  • Partner with FP&A, Legal, and Operations on spend visibility, budgeting, and vendor management initiatives

Controls, Compliance & Audit

• • Ensure strong internal controls across payables, expenses, and payments, including segregation of duties
  • Support audits, bank requests, and compliance initiatives related to procure-to-pay
  • Maintain clear documentation of policies, workflows, and approval structures

Qualifications

Required

• • 5+ years of experience in Accounts Payable, Expense Management, or accounting operations
  • CERT C1 English proficiency required
  • Hands-on experience administering Ramp in a corporate environment
  • Experience executing domestic and international payments using Airwallex or similar fintech FX/payment platforms
  • Strong working knowledge of NetSuite, including GL coding and multi-entity setups
  • Experience operating in a fast-paced, scaling organization
  • High attention to detail with a strong internal-controls mindset

Preferred

• • Experience supporting multi-subsidiary, multi-currency environments
  • Exposure to audit support, SOC 2, or regulated industries
  • Prior ownership of AP, expense, or payments system implementations
  • Strong cross-functional communication skills and comfort working onsite with leadership

JOB SUMMARY

We are seeking an experienced and versatile General Manager to lead our newly formed wholesale company in Mexico. This standalone entity will handle all aspects of importing industrial PPE and selling to distributors. The ideal candidate will be a strategic leader with comprehensive knowledge of running a business in Mexico, including operations, supply chain management, finance, government regulations, and import laws. They will have an opportunity to oversee daily operations, ensure regulatory compliance, build key relationships, and support the already established sales team. This role requires a hands-on approach to establishing and scaling the company while aligning with our U.S. parent company's goals. Must be fluent in Spanish and English.

LOCATION

This position is based in Mexico - specific location is preferably Monterrey based on business needs. We are willing to review applicants in Mexico City with aligned experience. 

JOB RESPONSIBILITIES

• Operational Leadership: Oversee the day-to-day operations of the Mexican subsidiary, including inventory management, warehousing, logistics, and order fulfillment to ensure efficient importation and distribution of PPE products.
• Supply Chain Management: Manage end-to-end supply chain processes, from sourcing and importing goods from international suppliers to coordinating with local distributors. Optimize for cost-effectiveness, timeliness, and quality control.
• Financial Oversight: Handle budgeting, financial planning, accounting, and reporting. Ensure accurate financial records, tax compliance, and profitability analysis in accordance with Mexican and international standards.
• Regulatory and Compliance Expertise: Navigate Mexican government regulations, import/export laws (including customs duties, tariffs, and trade agreements like USMCA), labor laws, environmental standards, and health/safety requirements specific to PPE. Maintain compliance with all relevant authorities, such as SAT, IMSS, and SEMARNAT.
• Team Building and Management: Recruit, train, and manage a local team across operations,  and finance. Foster a collaborative culture focused on performance and compliance.
• Stakeholder Relations: Leverage or develop strong relationships with key external partners, including customs brokers, government officials, regulatory bodies, suppliers, and industry associations to facilitate smooth operations and resolve issues proactively.
• Strategic Planning: Develop and implement business plans, risk management strategies, and growth initiatives. Report regularly to U.S. headquarters on performance metrics, challenges, and opportunities.
• Risk Management: Identify and mitigate operational, financial, and legal risks associated with importing and distributing PPE in Mexico.

QUALIFICATIONS

• Bachelor's degree in Business Administration, International Trade, Supply Chain Management, or a related field; MBA or advanced degree preferred.
• Minimum of 10 years of senior management experience in a standalone company or subsidiary in Mexico, preferably in wholesale, import/export, or manufacturing sectors.
• In-depth knowledge of Mexican business operations, including corporate setup, taxation (e.g., IVA, ISR), labor laws, and import regulations (e.g., customs procedures, IMMEX program).
• Proven expertise in supply chain and logistics, with experience in importing goods under international trade agreements.
• Strong financial acumen, including experience with Mexican accounting standards (NIF) and financial software.
• Fluency in Spanish and English (both written and verbal) is required; must be fluent in English to effectively communicate with U.S. headquarters.
• Demonstrated ability to navigate government bureaucracy and maintain compliance in a regulated industry.
• Excellent leadership, communication, and problem-solving skills with a track record of building high-performing teams.

SKILLS AND COMPETENCIES

• Existing relationships with Mexican customs authorities, regulatory officials, logistics providers, and industry networks in the PPE or industrial goods sector.
• Experience in the PPE, safety equipment, or related industrial products industry.
• Familiarity with U.S.-Mexico cross-border operations and USMCA compliance.
• Proficiency in ERP systems, supply chain software (e.g., SAP, Oracle), and data analytics tools.
• Certification in international trade, supply chain (e.g., CSCP), or Mexican business law is a plus.
