Real Chemistry is looking for a Project Manager to join our growing team!

This is a hybrid role, based in any of our US offices—including New York City, Boston, Chicago, Carmel, Lambertville, or San Francisco—or remotely within the US, depending on team and business needs.
The Project Manager independently manages the day-to-day delivery of multichannel projects, ensuring work is delivered on time, on budget, and in alignment with brand objectives and agency standards.
What you’ll do:
Own the lifecycle of assigned projects from kickoff through launch and closeout.
Develop and manage scopes, timelines, staffing plans, and detailed workback schedules.
Coordinate cross-functional teams and vendors, ensuring clear handoffs and quality control.
Drive MLR and PRC routing, calendars, and submission packages with meticulous documentation.
Track progress, surface risks with proposed solutions, and manage change control.
Lead internal status meetings and ensure adherence to agency processes and SOPs.
Maintain file structures, naming conventions, and QA checklists across deliverables.
Portfolio Management: Oversight of approximately 2 million dollars in project revenue. No involvement in new business. Project-focused delivery.
Resource Management: Support resourcing data and requests. Escalate gaps. Own Gantt updates for projects you manage.
Client and Vendor Relationship Management: Participate in client calls. Lead vendor communications at the project level.
Training, Growth, Reporting: Enhance time management and foundational PM knowledge. Partner with Senior PM to maintain brand onboarding documents.
Admin Operations: Own Workfront routing, timeline development, and timesheet compliance. Maintain file structures and job code setup in collaboration with Account and Finance.
Execution: Enforce process and timelines. Build brand and disease knowledge. Begin strategic thinking at the project level to anticipate needs.
Finance: Create medium to high scale estimates. Pull project health reports. Flag scope risks and escalate. Mentor Coordinators on finances.
Culture, Comms and Collaboration: Escalate when creative redirection occurs. Share information and context with the team.

What you should have:
Bachelor’s degree preferred.

3 or more years of project management or operations experience in an agency setting.
Proven ability to manage multiple projects simultaneously in healthcare marketing.
Pay Range: $70,000 - $85,000
This is the pay range the Company believes it will pay for this position at the time of this posting. Working with Real HART: Since the pandemic, we have adapted to how our people told us they want to work. We have office locations in cities in the US, UK, and Europe with many employees and clients that serve as hubs where and when they need us. For employees who are within an hour of one of our offices, we expect attendance in the office two days per week, either at a Real Chemistry office or onsite with clients. This role exists to build a growth engine that compounds. You will be responsible for scaling Headway-sourced patients. This begins with high confidence in incrementally, while building the people, tooling, and creative systems that will ultimately make results repeatable.

About This Role:

The Patient Core Experience team owns how patients find the right therapist on Headway. From search through the first several sessions, our four engineering pods — Onboarding, Profiles + Checkout, Ranking + Relevance, and Activation — build the systems that make great therapeutic matches happen.
We operate a three-sided marketplace (patients, providers, payers) with real complexity and massive impact. We're evolving from a provider directory into an intelligent matching platform that uses communication style, data-backed expertise signals, and patient-reported outcomes to connect people with therapists who are genuinely right for them.

This role exists because we have hard, specific challenges that need senior engineering leadership to crack. Here's what your first year looks like:
Build an ML-powered matching system from the ground up. Our current matching is largely filter-based. We need to move to ML-powered ranking that incorporates provider communication style, expertise signals, and patient outcome data — without degrading the patient experience during the transition. You'll define the technical strategy for how we get there and own the execution across multiple pods.
Rearchitect team topology as the product evolves. We have four pods today, but the boundaries between ranking, activation, and onboarding will shift as we move toward intelligent matching. You'll need to evolve team structure, ownership boundaries, and technical interfaces as the product changes shape. This includes scaling the org from ~18 to ~25+ engineers while maintaining velocity and quality.
Close the gap between engineering output and patient outcomes. We have patient funnel metrics (intake-to-match, match-to-book, book-to-retained) but engineering doesn't yet co-own them tightly enough with Product and Data. You'll establish the operating model where engineering, product, and data science jointly own these metrics in a true triad — not one where engineering is an execution arm.
Define how your teams build software in the AI era. This isn't about adding a bullet point on AI tooling. You'll set concrete standards for how your ~30 engineers use AI-assisted development — how it changes code review, testing strategy, onboarding, and potentially team composition. You'll also own the AI/ML strategy for the product itself: where we use ML models vs. heuristics, how we handle explainability in a healthcare context, and how we build patient trust in AI-driven recommendations.

Our platform runs on Python (Django/FastAPI) and TypeScript/React on the frontend. Elasticsearch powers search and ranking. PostgreSQL and Redis handle data storage and caching. We use dbt and Snowflake for data pipelines, Temporal for workflow orchestration, and custom ML models for matching. Everything runs on AWS.
You won't be writing code daily, but you'll need to engage deeply enough with these systems to make sound technical and organizational decisions.

Group practices are one of Headway's biggest growth levers — and one of its most complex design challenges. Unlike solo providers, group practices operate through owners, admins, supervisors, and supervisees, each with different permissions, workflows, and goals. A single group practice might onboard dozens of providers simultaneously, manage supervisory billing relationships across multiple states, and need practice-level reporting that doesn't exist today.
This is also a massive business opportunity. Supervisory billing — enabling provisionally licensed therapists to bill insurance through Headway — represents a ~250K new provider TAM and over $100M in annual revenue potential. It's the #2 reason we lose group practice sales (after rates), and we're just getting started: we launched in-product onboarding in Q1 and are expanding state-by-state throughout 2026.
As a Staff Product Designer for Group Practices, you'll be the design anchor for the only segment-based pod at Headway. You won't just own a surface — you'll own a customer. That means designing across the full lifecycle: from how group practices discover and join Headway, to how they onboard and activate supervisees, to how they manage packaging tiers and track practice performance. About the Role
Commercial fleets increasingly operate mixed-brand vehicles, and today’s fragmented tool landscape forces managers to juggle multiple systems. This role sits at the center of the effort to give them one coherent experience, without erasing the partner intelligence that makes each brand valuable. You’ll shape a platform that hundreds of thousands of vehicles depend on daily, and where fleet managers monitor, diagnose, and act on vehicle data across multiple truck manufacturers, all from a single interface.

About the Role:
We’re looking for a strategic, data-driven, and people-minded leader to own and scale our Owned Channels engine. We're seeking a Senior Product Manager to lead our Provider Acquisition pod. Your mission will be to drive sustainable user acquisition and revenue growth through data-driven search marketing strategies and product optimizations. You'll partner with Engineering, Marketing, Data, and Design to build scalable growth systems that maximize our search visibility and conversion funnel performance. The ideal candidate thrives in a metrics-driven environment, has expertise in search marketing, and is passionate about leveraging product innovation to accelerate growth.

Compensation and Benefits:
The expected base pay range for this position is $180,000 - $225,000, based on a variety of factors including qualifications, experience, and geographic location. In addition to base salary, this role may be eligible for an equity grant, depending on the position and level.
