About the role
We are looking for a highly organised, dependable Executive Assistant to support our Director(s). This is a hands-on role built around one thing above all else – relentless, reliable follow-up.
You will be the person who makes sure that tasks assigned across the team actually get completed, on time, and to standard – without ever having to be chased yourself. Think of the sharp, unflappable right hand who anticipates what is needed, stays two steps ahead, and keeps everything moving. It is difficult to find someone who already works exactly this way, so we are equally happy to find someone with strong fundamentals and the right attitude, and train them into the role. Requirements
Key responsibilities
- Track and follow up on tasks assigned to internal teams and vendors until they are fully closed, and keep the Director updated on status.
- Manage the Director’s calendar, meetings, appointments, travel, and reminders.
- Draft, format, and manage correspondence, notes, minutes, and documents in Word and Excel.
- Coordinate across departments internally, and with external parties as required.
- Maintain accurate records, files, checklists, and to-do lists.
- Take dictation / shorthand notes where required and convert them into clean documents.
- Handle occasional personal errands and tasks for the Director, as needed.
Must-have – the non-negotiable
Exceptional follow-up and follow-through. This is the single most important requirement and we will not hire without it. Every other skill on this list can be taught – this one cannot. If you are the kind of person who owns a task until it is done and never lets things slip, we want to talk to you.
Experience
- 3–5 years of experience as an Executive Assistant, PA, or secretary to an MD, Director, or senior leadership.
- Candidates with steady experience as an office coordinator or in administration and coordination will also be considered.
- A consistent track record is important to us – we prefer stability over frequent job changes.
Educational qualification
- Graduate. A diploma or qualification from a recognised secretarial college is preferred.
Skills required
- Excellent follow-up skills – most important (see above).
- Working knowledge of MS Office, especially Excel and Word.
- Good command of spoken and written English.
- Shorthand.
