Job Role: Virtual Assistant with House plans experience
Compensation range: $1,500 AUD - $2,000 AUD / Monthly
Engagement type: Independent Contractor Agreement
Work Schedule: This role is expected to align with the AU business hours (approx. 9 AM - 5 PM, Monday to Friday) for collaboration, but as a contractor, you’ll have flexibility in how you manage your time.

Role Overview: We are seeking a detail-oriented Virtual Assistant to support the owner with residential air-conditioning, solar and battery projects from the initial design and costing stages through to quotation and project handover.
The role involves working with house plans, construction documentation, electricity bills and several computer programs, including Plandroid, Pylon, simPRO, Fortix, Quotient and Microsoft Excel.
You will be trained on the company's systems and processes, so prior HVAC or solar industry experience is not essential. We are particularly interested in candidates who have experience working with house plans or technical documentation, such as those from interior design, drafting, real estate, new home sales or similar backgrounds.
Key Responsibilities:
During the training process, you will learn to complete the following tasks:
- Receive and review builders’ construction plans, specifications and customer information.
- Set up customers, projects and electronic job files within Fortix.
- Upload and organise construction plans, specifications and other supporting documents.
- Complete preliminary heat-load calculations and prepare air-conditioning designs using Plandroid.
- Scale plans, position equipment, outlets and ductwork, calculate airflow and select suitable components.
- Prepare air-conditioning costings and draft quotations in simPRO using our established prebuilds, labour allowances and pricing structure.
- Review house plans, roof layouts and electricity bills to prepare preliminary solar and battery designs using Pylon.
- Select suitable solar panels, inverters, batteries and associated components from our approved product range.
- Prepare solar and battery costings and draft quotations in simPRO using established prebuilds and approved pricing.
- Produce customer proposals through Quotient, ensuring all information is accurate and presented in the Ford & Doonan format.
- Submit completed designs and draft quotations to the owner for review and approval before they are issued to customers.
- Revise designs and quotations following feedback from the owner, builders, customers or site staff.
- Assist with solar administration, including STCs, government rebates, finance applications, network approvals and retailer documentation.
- Prepare completed solar projects for handover to the installation team, ensuring all required approvals and documents are included.
- Maintain accurate file management and version control, and clearly record any changes to plans, designs or quotations.
- Liaise with the owner and administration team in Perth regarding missing information, design questions and project requirements.
- Assist the owner with other administrative tasks as required.
Requirements
- Basic understanding of house plans or construction drawings, or a strong willingness to learn.
- Experience in areas such as interior design, drafting, architecture, real estate, new home sales, construction administration or similar is highly regarded.
- Comfortable learning and working with new computer programs and software.
- Strong computer skills and proficiency with common office software, particularly Microsoft Excel.
- Excellent attention to detail and strong organisational skills.
- Good written and verbal English communication skills.
- Ability to follow established processes while also using initiative to identify missing or incorrect information.
- Ability to work independently and manage tasks effectively in a remote environment.
