Role Summary

As our Junior Specialist, Real Estate Transactions, you provide core operational, analytical and administrative support to the Real Estate Transactions team. Operating with a high degree of autonomy on day-to-day assignments, you maintain real estate portfolio data, track critical lease milestones, ensure regulatory compliance, prepare quarterly management reports and deliver administrative support to regional offices. This role directly assists the Senior Co-ordinator and Senior Manager in ensuring data integrity and operational excellence across the corporate real estate portfolio.

Key Responsibilities

Lease Portfolio Administration and Data Validation

  • Develop strategic planning reports at the beginning of each fiscal year to establish the planned transactions road map and team delivery milestones.
  • Monitor critical lease life-cycle dates (including renewal notice deadlines, option windows and expiries), proactively issuing monthly reminders.
  • Prepare and distribute internal client satisfaction surveys, actively tracking responses to facilitate timely lease renewal approvals.
  • Reconcile and integrate monthly accounts payable and receivable statements from the third-party property management service provider (BGIS) into the real estate portfolio database, supplementing entries with strategic and operational metrics; maintain the database by incorporating unbilled or forecasted transactions not included in BGIS reports to ensure strict deadline tracking and accurate reporting.
  • Prepare baseline financial forecasting assumptions for payable and receivable leases under team supervision to assist BGIS with budget planning and operational administration.

Operational Reporting and Data Analysis

  • Extract, compile and validate statistical data from the real estate portfolio database; generate quarterly performance indicators and draft executive summaries highlighting key trends for management presentations.
  • Deliver error-free reporting through automated pivot table reconciliations as well as year-over-year (YoY) and quarter-over-quarter (QoQ) comparative analyses.
  • Query the real estate portfolio database to produce custom reports, fulfil routine information requests and Access to Information and Privacy (ATIP) inquiries, and prepare qualitative and quantitative analyses for executive briefings.

Management of Operational Tools and Real Estate Microsites

  • Maintain the active transaction tracker, draft transaction summaries and briefing notes, and prepare building guidelines for personnel at newly opened sites to support lease compliance.
  • Oversee and update the bilingual real estate microsite, maintaining an interactive Google Maps portfolio view and a live master property directory to provide real-time visibility across the organization.
  • Administer the property microsite to ensure official directories for owned properties and revenue leases remain current, while keeping building profile sheets up to date.
  • Maintain the centralized interface microsite bridging Google Drive repositories with the corporate records management system (Livelink), ensuring disciplined document life-cycle management for all team files.
  • Co-ordinate comprehensive post-execution lease administration for new site openings, closures and renewals by updating all relevant databases, official registries, mapping tools, critical date schedules and Livelink archives.
  • Maintain and refresh the team’s operational resources, including the transaction playbook, standard templates and site transition checklists.
  • Create and standardize tenant guidelines for regional offices and auxiliary locations to ensure full compliance with lease obligations.
  • Maintain and regularly update divisional operational and secondary databases for audit tracking, statutory filings and key registries to preserve record accuracy and support broader organizational mandates.
  • Oversee the commercial lease insurance database by collecting, validating and tracking certificates of insurance, securing certificates promptly for incoming sites, administering annual renewal cycles and ensuring systematic filing within corporate archives.

Operations Support, Insurance Management and Data Governance

  • Respond to operational and administrative requests from regional offices, including processing mailing address updates and arranging local custodial or maintenance services.
  • Monitor team communications and departmental documentation to maintain operational visibility; organize, structure and maintain the Google Drive repository feeding the team microsite to ensure consistent data updates and systematic archiving in Livelink.
  • Draft routine lease extension agreements, renewal correspondence and related documents proactively or upon request.
  • Identify files requiring priority action to provide proactive support to the team, ensuring seamless deadline management and operational continuity across the portfolio.

Job Requirements (Knowledge and Skills)

  • Education: College diploma (DCS) or a bachelor’s degree in business administration, real estate management, contract management or a related field.
  • Experience: Minimum five years’ experience in commercial lease administration, real estate operations, portfolio data analysis or specialized executive administrative support.
  • Software and Tool Proficiency:
    • Strong proficiency in the Microsoft Office Suite (advanced Excel formulas and pivot tables, Word, PowerPoint), Adobe Acrobat and Google Workspace.
    • Demonstrated aptitude in database administration, web platform/microsite maintenance and data governance.
    • Familiarity with commercial real estate property management and accounting software an asset.
  • Organizational Skills and Autonomy: Strong initiative and a proven ability to work independently with minimal direction; highly methodical, organized and detail-oriented, with the demonstrated capacity to manage competing priorities simultaneously under tight deadlines.
  • Interpersonal Skills: Excellent verbal and written communication skills, with a proven ability to collaborate effectively with internal stakeholders (executives, Legal, Finance, Risk Management, and business units) and external service providers.
  • Bilingualism: Bilingualism (English and French), spoken and written, required.

Working Conditions

  • Professional office environment with a hybrid work arrangement in accordance with corporate policy.
  • Occasional extended hours may be required during peak periods, such as fiscal year-end or quarterly reporting cycles.

Candidates may be subject to skills and knowledge testing.
