[What you will be working on]

1) Grants Administration, Monitoring and Grantee Engagement

• Support the day-to-day evaluation, monitoring and administration of NAC’s Visual Arts funding and grant schemes.
• Work closely with grantees to monitor progress of funded projects through to completion, responding to grant- and programme-related matters in a timely and professional manner.
• Build and maintain constructive working relationships with grantees and relevant internal and external stakeholders.
• Work with the Support Officer on general administration and grants-related matters.
   

2) Information Management, Reporting and Programme Administration

• Ensure programme and grant information is accurately and promptly recorded in information management systems, with proper records maintained in line with data privacy and records management requirements.
• Contribute to weekly, monthly, annual and other regular reporting.
• Provide administrative and coordination support for meetings and programme activities — scheduling, coordinating papers, venues and agendas, minute-taking and follow-up on action items.
• Track payments and invoices and support other programme-related administrative requirements.
   

3) Singapore Art Week: Programmes and Partnerships

• Plan, deliver and manage assigned SAW programme portfolios, partnerships and commissions with the SAW team. Manage contract negotiations, procurement processes and vendor relationships.
• Coordinate with event management vendors, government agencies and partners to secure necessary licences and approvals. Oversee project setup and teardown logistics.
   

4) Singapore Art Week: Events Management and Hospitality

• Lead the team as a liaison with Joint Organisers and the appointed Events Management Company, overseeing timelines, deliverables and budget for the SAW Opening Reception.
• Liaise with vendors and authorities to obtain licences and permits; oversee event setup, execution and teardown, and manage staffing deployment.
• Coordinate VIP nominations across NAC and SAW Workgroup networks, maintain attendance tracking and guest management, prepare briefing materials and factsheets for Guest-of-Honour engagements, and work with Protocol teams on high-level meetings and ceremonial activities.

5) Visual Arts Sector and Policy Development

• Keep abreast of local and international trends and developments in the Visual Arts sector and contribute ideas towards programme and industry development.
• Work with supervisor(s) to undertake research and develop policies, strategies and recommendations supporting sector development, including regional residency programmes, the development of Singapore’s commercial visual arts ecosystem and public art initiatives.

• At least 2-6 years of relevant working experience
• Experience in business strategies and development would be an added
• advantage.
• Good knowledge of the Singapore Visual Arts Landscape is highly preferred
• Possess strong written communication skills.
• Proven ability to manage and maintain information management systems and follow procedures to guide work and track progress ensuring team and project goals and priorities are achieved.
• Proven ability to negotiate, build sustainable relationships and work proactively with people at all levels to achieve project objectives.
• Demonstrated interpersonal and communication skills and an ability to maintain a professional approach at all times in often demanding and high-pressure situations with a proven ability of working with the
• community.
• Proven ability to actively and collaboratively contribute to a high performing team which delivers outstanding results, and to constantly seek ways to improve own contribution.
• Proficiency in effectively using online systems as well as Microsoft Word, Excel and Powerpoint.
