NE06Position Summary
This position is responsible for providing administration support for the Veterinary Technology Distance Learning Program (VTDLP) of San Juan College.MAJOR DUTIES
- Answers telephone and greets visitors; provides program information and assistance; refers to appropriate personnel; takes messages, and makes appointments.
- Processes Off-Campus Clinical Instruction (OCCI) applications and Student Clinical Experience Agreements.
- Enters student information, OCCI information, correspondence, semester grades, and course registrations into the VTDLP Access database.
- Answers questions from students regarding program information, OCCI paperwork, registration, etc.
- Provides program information and reply to inquires via email.
- Maintains assigned office hours.
- Maintain office supply inventory; makes purchases as needed.
- Sort and distributes incoming mail.
- Enter VETT Courses into Colleague each year/semester.
- Add VETT Course Instructors and Adjuncts as needed each semester.
- Maintain Vet Tech website, review forms and information for ADA compliance before adding to the website and update website as needed.
- Process book orders each semester.
- Perform related duties as needed.
KNOWLEDGE REQUIRED BY THE POSITION
- Knowledge of modern office practices and procedures.
- Knowledge of college and department policies and procedures.
- Knowledge of computers and job-related software programs including Colleague and Microsoft Office (Word, Outlook, Excel, and Access).
- Skill in prioritizing and organizing work.
- Skill in the use of such office equipment as a computer, scanner, and fax machine, and copier.
- Skill in oral and written communication.
SUPERVISORY CONTROLS
The Dean or Program Director assigns work in terms of general instructions. The supervisor spot-checks completed work for compliance with procedures, accuracy, and the nature and propriety of the final results.

Guidelines include college and department policies and procedures.These guidelines are generally clear and specific, but may require some interpretation in application.
COMPLEXITY/SCOPE OF WORK
- The work consists of related administrative duties. Frequent interruptions contribute to the complexity of the position.
- The purpose of this position is to provide administrative support for the operations of an assigned the program. Successful performance contributes to the efficiency and effectiveness of those operations.

- Contacts are typically with co-workers, other college employees, students, and the general public.
- Contacts are typically to give or exchange information, and provide services and resources.
PHYSICAL DEMANDS/ WORK ENVIRONMENT
- The work is typically performed on a computer while sitting at a desk or table. The employee occasionally lifts light objects.
- The work is typically performed in an office.
SUPERVISORY AND MANAGEMENT RESPONSIBILITY
None
MINIMUM QUALIFICATIONS
- Knowledge and level of competency commonly associated with completion of specialized training in the field, in addition to basic skills typically associated with a high school education.
- Sufficient experience to understand the basic principles relevant to the major duties of the position, usually associated with the completion of an apprenticeship/internship or having had a similar position for one to two years.
