Summary
At ARTBIO, we are looking for a structured and service-minded Office Coordinator to support our Oslo office. This is a part-time role (approx. 50–60%) based on-site in Oslo. You will play a key role in creating a smooth and positive office environment and supporting both employees and visitors in their day-to-day experience.
We are looking for someone with a warm and caring approach, who takes pride in creating a welcoming atmosphere. You are independent, proactive, and enjoy taking ownership of your responsibilities, while also being a thoughtful and collaborative presence in the office. Naturally curious and eager to learn, you take initiative, identify opportunities where support is needed, and enjoy contributing across different parts of the organization. You bring positive energy, fresh perspectives, and a genuine interest in the people, science, and work that drive ARTBIO forward.
Responsibilities
Office Operations
Ensure the office is well-organized, welcoming, and running smoothly
Maintain the kitchen, meeting rooms, supplies, and overall office facilities
Manage incoming mail and general office logistics
Employee & visitor support
Support onboarding and offboarding processes locally (e.g, equipment, practical setup)
Act as the go-to contact for employees and visiting colleagues
Help ensure a great workplace experience
Events & culture
Support internal meetings, workshops, and team events
Plan and coordinate office events (e.g., summer party, Christmas dinner)
Assist with company-wide gatherings (e.g., Town Halls)
Coordination & vendors
Coordinate with local suppliers and service providers (e.g., IT, office services, catering, etc.)
Manage relationships with Oslo Science Park services
Support logistics such as shipments and deliveries
Administrative support
Handle document coordination and signatures (e.g., DocuSign)
Maintain internal lists and communication updates
Provide light translation support (Norwegian/English)
Qualifications & Experience
You are service-minded, structured, and proactive
You enjoy both hands-on practical work and coordination tasks
You thrive in a social, people-facing role
You bring a positive and uplifting presence, take initiative without being asked, and are comfortable working across a variety of tasks and projects
You are proficient in Microsoft Office and other collaboration tools (e.g. Netsuite, Mastercontrol, Tipalti, Bizaway)
You communicate well in both Norwegian and English
You are comfortable working on-site in Oslo (approx. 3 days/week)
