About the Role
At Pavago, we’re hiring on behalf of one of our clients for an AIA Billing Specialist to manage contracts, AIA billing, construction bonding, and project documentation for a growing commercial construction company.
This is a specialized construction operations role—not a general administrative position.
You’ll be responsible for:
- AIA billing (G702/G703)
- Schedule of Values (SOV) management
- Construction contracts
- Bonding coordination
- Project documentation
- Billing compliance
We’re looking for someone who has supported U.S.-based commercial construction projects remotely and has hands-on experience managing payment applications, retainage, contract administration, and bonding requirements.

What You’ll Own
AIA Billing & Project Administration
- Prepare and submit AIA billing packages using:
- G702
- G703
- Maintain and update Schedule of Values (SOV) across active projects.
- Track:
- Retainage
- Payment milestones
- Billing status
- Ensure all billing submissions are accurate and submitted on time.
- Identify billing discrepancies before they impact project cash flow.
Contracts & Bonding
- Manage commercial construction contracts throughout the project lifecycle.
- Coordinate:
- Bid bonds
- Performance bonds
- Maintenance bonds
- Prepare and submit bonding documentation.
- Communicate with:
- Bonding companies
- Municipalities
- General contractors
- Ensure compliance with contractual requirements and deadlines.
Project Documentation & Systems
- Maintain project documentation within:
- Buildertrend
- or similar construction management software
- Keep project records:
- Organized
- Accurate
- Audit-ready
- Maintain CRM and project management data integrity.
- Support project reporting and operational visibility.
Administrative & Operational Support
- Coordinate communication with:
- Clients
- Contractors
- Vendors
- Project stakeholders
- Support pre-construction administrative activities.
- Organize:
- Contracts
- Permits
- Project files
- Supporting documentation
- Participate in weekly project meetings and provide project status updates.
Requirements
Must-Have Qualifications
- Prior remote experience supporting a U.S.-based general contractor or commercial construction company.
- Proven experience with:
- AIA Billing
- G702/G703 payment applications
- Schedule of Values (SOV)
- Strong understanding of:
- Bid bonds
- Performance bonds
- Maintenance bonds
- Experience tracking retainage and construction billing documentation.
- Strong Microsoft Excel and Microsoft Office skills.
- Excellent written and verbal English communication skills.
- Exceptional organizational and multitasking abilities.
- High attention to detail and accuracy.
Nice to Have
- Experience using:
- Buildertrend
- or similar construction management software
- Background in:
- Commercial construction
- Landscaping
- Trades-related industries
- Basic construction accounting or bookkeeping experience.
- Familiarity with:

In short: You ensure commercial construction projects remain financially organized, contractually compliant, and operationally on track from billing through project completion.
