Position Overview:

We are looking for a Service Coordinator to join our Edmonton team. In this role, you will serve as the administrative hub of our service operations, ensuring work orders are created, tracked, documented, billed, and closed accurately and efficiently. You will collaborate closely with service teams, leaders, and customers to support the successful execution of maintenance and repair work. This role aligns with existing Service Coordinator responsibilities and service administration processes

Job Description:

What You'll Do

Coordinate Service Requests & Work Orders

• Review incoming service requests for accuracy and completeness
• Create and manage work orders and job files
• Ensure customer requirements, purchase orders, billing information, and supporting documentation are properly captured
• Distribute work orders to service and parts teams to initiate work
• Maintain accurate records and documentation throughout the lifecycle of each job
• Update service tracking systems and scheduling tools to ensure real-time visibility of work status

Support Billing & Job Closure

• Review completed service work for accuracy and documentation compliance
• Prepare customer service packages, including reports, inspections, and supporting documents
• Assist with warranty submissions and claim documentation
• Monitor work order status and identify potential billing delays
• Generate final invoices and coordinate customer submission for payment
• Support service teams in achieving timely invoicing and work order closure targets

Time & Payroll Administration

• Review and process employee timecards for accuracy
• Ensure proper coding of vacation, statutory holidays, absences, and other payroll-related entries
• Transfer labor hours to work orders accurately
• Follow up on late submissions and approvals to maintain payroll and operational accuracy

What You Bring

Required Skills

• Strong organizational and administrative abilities
• Excellent attention to detail and commitment to accuracy
• Ability to manage multiple priorities and meet deadlines
• Strong verbal and written communication skills
• Proficiency with Microsoft Office, including Outlook, Excel, and Word
• Strong data entry and keyboarding abilities (50+ WPM preferred)
• Problem-solving mindset with the ability to identify and resolve issues proactively
• Ability to work independently while supporting a collaborative team environment

Preferred Experience

• Administrative, business, accounting, or operational support experience
• Experience with invoicing, billing, payroll administration, or document control
• Service, repair, construction, equipment, dealership, or industrial industry experience
• Understanding of service operations and work order processes
• Experience working with ERP, service management, or operational software systems
