Job Role: Operations Manager

Compensation range: $2,000 AUD - $3,000 AUD / month

Engagement type: Independent Contractor Agreement

Work Schedule: This role is expected to align with the AU business hours (approx. 6:30 AM - 3:30 PM, Monday to Friday) for collaboration, but as a contractor, you’ll have flexibility in how you manage your time.

Who The Client Is: An established Australian trade services business that has built a strong reputation for quality workmanship, reliable service, and professional customer relationships.

The business works across a range of residential and commercial projects and is continuing to grow its operations. With this growth comes an increasing need for strong financial processes, accurate reporting, and better visibility across individual jobs and the wider business.

Role Overview: The Operations Manager will oversee the daily administration, inbox, scheduling, job coordination and communication across the business. You’ll be responsible for keeping jobs moving, ensuring customers and builders are kept informed, and identifying and resolving issues before they become problems.

This role is ideal for someone who is highly proactive, organised and confident working independently, with the initiative to identify what needs to be done and take action without needing to be chased.

Key Responsibilities: 

• Manage the business inbox, emails and day-to-day office administration, ensuring enquiries and requests are actioned promptly.
• Schedule jobs, crews, materials and supplier deliveries using Tradify or similar job management software.
• Track jobs from quote through to completion, identifying delays or issues early and keeping work on schedule.
• Coordinate with customers, builders, suppliers and internal teams regarding schedules, variations, job updates and requirements.
• Follow up outstanding quotes and invoices in coordination with the bookkeeper.
• Support the transition from Tradify to the new custom-built job management platform, including data setup and process documentation.
• Develop and maintain SOPs for key office and operational processes.
• Provide the owner with a weekly overview of jobs, upcoming schedules, outstanding items and potential issues.

Required Skills and Qualifications:

• 5+ years’ experience in operations, office management, scheduling or a similar coordination role.
• Experience within roofing, construction, trades or a related Australian business is highly preferred.
• Hands-on experience with Tradify or similar job management systems such as ServiceM8, simPRO or Fergus.
• Strong Microsoft 365 skills, particularly Outlook, Excel, Word and Teams.
• Excellent organization and time-management skills, with the ability to manage multiple jobs, deadlines and stakeholders.
• Confident and professional communicator who can build strong relationships and communicate effectively with builders, customers and suppliers.
• Experience creating SOPs or supporting a software/system migration is highly regarded.
