Summary:

We are currently seeking a Marketing Specialist to join our Enterprise Marketing team in Toronto.

What your team does:

This role sits with Events and Community, where the highest volume of vendor, supplier and contract activity lives, and supports the full Enterprise Marketing team on procurement, contracts and budget.

Who you are:

The Marketing Specialist is the operational and administrative backbone of Enterprise Marketing. The role owns the mechanics that keep our events and community programmes moving: managing project plans and timelines in Asana, raising and tracking purchase orders in Coupa, shepherding vendor and partner contracts through legal and procurement, and owning the budget tracker so committed and remaining spend is always current and visible.

This is a role for someone who is energised by making complicated things run smoothly, who is comfortable chasing people politely and persistently, and who wants a broad view of how an enterprise marketing function actually operates before specializing.

What you’ll work on:

  • Event Project Management: Build and maintain project plans, timelines and task boards in Asana for events, sponsorships and community programmes. Keep owners, due dates and milestones accurate, run the recurring status cadence — planning meetings, stand-ups, status updates and post-event retrospectives — and surface slipping items and risks early.

  • Budget Management: Own the budget tracker. Track spend against budget by event and programme, reconcile actuals to forecast with Finance, monitor commitments and accruals, and give the Sr. Manager and Sr. Director a current, trusted view of committed and remaining budget at any point in the year.

  • Procurement & Coupa: Raise, submit and track purchase requisitions and purchase orders in Coupa. Onboard new suppliers, resolve blocked or rejected requisitions, match invoices to POs, chase approvals, and act as the team's first point of contact for anything Coupa-related.

  • Contracts & Vendor Management: Route vendor, venue, sponsorship and partner agreements through legal, procurement, privacy and security review. Track where every agreement sits, flag renewal and expiry dates, maintain the contract register, and gather the information reviewers need so agreements are not delayed by missing detail.

  • Accounting & Finance Coordination: Work with Finance and Accounts Payable on invoicing, payment queries, vendor set-up, month-end close inputs and expense reconciliation. Resolve discrepancies between what was contracted, ordered and invoiced.

  • Events & Community Logistics: Support event delivery end to end: registration lists, shipping and inventory, supplier and venue bookings, attendee communications, on-site materials and post-event wrap-up. Travels roughly 3-5x per quarter across the GTA & US to provide on the ground support for key events.

  • Stakeholder Coordination: Act as a point of contact for internal stakeholders and external vendors on event timelines, deliverables and approvals, and make sure requests going to design, video or content are complete before handoff.

  • Team Operations & Process: Keep shared drives, asset libraries, distribution lists, team calendars and the marketing calendar organized and current. Document and maintain recurring processes — procurement, contract routing, budget reporting, event run-of-show — so they are repeatable. Turn retrospective learnings into concrete changes to how the next programme runs.

  • Administration: Act as a general administrative partner to the Sr. Director, Enterprise Marketing and the wider leadership group.

  • Other duties as assigned.

What good looks like:

  • No event, sponsorship or programme is delayed by a purchase order, contract or approval that was not moved in time.

  • Budget is never a question mark. Committed and remaining spend is current, reconciled and available on request.

  • Anyone on the team can find the status of any event, contract or budget line in Asana or the tracker without asking.

  • Invoices, POs and contracts reconcile cleanly, and Finance is not chasing us.

  • Managers spend materially less time on administration, and that time shows up in strategic and pipeline work instead.

What you may have:

  • 3-5 years in an events, marketing operations, procurement or administrative coordination role. Candidates stepping across from adjacent operational or finance-adjacent roles are welcome.

  • Budget tracking and management experience is required — owning a tracker, reconciling actuals to forecast, and reporting on spend.

  • Hands-on experience with a financial or procurement platform is required — Coupa specifically is a strong advantage; comparable systems (SAP Ariba, NetSuite, Workday, Concur) transfer well.

  • Hands-on experience with a project management platform is required — Asana specifically is a strong advantage; Monday, Wrike, Smartsheet or Jira transfer well.

  • Strong spreadsheet skills, including formulas, pivot tables and reconciliation.

  • Exposure to contract routing and legal, procurement or privacy review processes.

  • Exceptional organization and follow-through. The role succeeds or fails on the ability to hold many small open loops and close every one of them.

  • Clear, calm written communication and the confidence to chase senior stakeholders and external vendors without friction.

  • Discretion with commercial and contractual information.

The expected salary range for this role is $85,400 to $115,600 CAD. Initial placement within the range is informed by geographic region, experience, and skillset, with room to progress as impact and tenure grow. Final offer amounts will vary based on candidate profile.
