We are seeking an organized, customer-focused, and highly motivated HR Operations Coordinator to join our growing Global Business Center in Manila. This role plays a critical part in supporting global HR operations, employee lifecycle activities, onboarding, and service delivery excellence across our organization.

Position Summary

The HR Operations Coordinator serves as a key member of the Global HR Operations team, providing administrative and operational support across the employee lifecycle. The role is responsible for managing HR requests and inquiries, supporting onboarding and offboarding activities, maintaining employee data integrity, and ensuring timely resolution of HR-related transactions through our HR service delivery platforms.

This position partners closely with HR Business Partners, Talent Acquisition, Payroll, Benefits, HRIS, and business leaders to ensure efficient and compliant HR processes.

Key Responsibilities

HR Service Delivery & Employee Support

• Manage and monitor HR Operations and Talent Acquisition shared mailboxes.
• Respond to and resolve employee and manager inquiries through ticketing platforms within established service level agreements (SLAs).
• Provide timely and professional support on HR policies, processes, programs, and employee lifecycle transactions.
• Escalate complex issues to appropriate stakeholders while ensuring a positive employee experience.

Onboarding & New Hire Experience

• Coordinate end-to-end onboarding activities for new hires.
• Prepare and process onboarding documentation and employee records.
• Facilitate new hire orientation sessions and onboarding communications.
• Partner with Talent Acquisition, IT, Payroll, Benefits, and hiring managers to ensure onboarding readiness.
• Track completion of onboarding requirements and proactively address delays.

Employee Lifecycle Administration

• Process HR transactions including:
  • New hires and rehires
  • Employee data changes
  • Job changes and transfers
  • Compensation updates
  • Leave-related transactions
  • Employee separations and terminations
• Ensure transactions are completed accurately and within defined timelines.
• Maintain confidentiality and compliance with company policies and applicable regulations.

HR Systems & Data Management

• Maintain accurate employee data within Workday and other HR systems.
• Conduct data audits and quality checks to ensure information integrity.
• Generate routine and ad hoc reports from HR systems and reporting tools.
• Support HRIS, payroll, compliance, and audit activities as needed.

Process Improvement & Operational Excellence

• Identify opportunities to improve HR processes, workflows, and employee experiences.
• Participate in projects related to HR automation, governance, documentation, and service delivery enhancements.
• Support the development and maintenance of SOPs, knowledge articles, and process documentation.
• Contribute ideas that improve efficiency, scalability, and data quality across HR Operations.

Minimum Qualifications

• Minimum of 2 years of experience in Human Resources, Talent Acquisition Operations, Shared Services, Recruiting Coordination, Employee Services, or a related administrative role.
• Experience working with HRIS, HCM, ATS, ticketing, or case management systems (e.g., Workday, FreshService, ServiceNow, Greenhouse, or similar platforms).
• Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment.
• Excellent attention to detail and commitment to data accuracy and confidentiality.
• Strong analytical and problem-solving skills with the ability to identify trends and recommend process improvements.
• Excellent verbal and written communication skills.
• Strong customer service mindset and ability to effectively support employees, candidates, managers, and business stakeholders.
• Proficiency in Microsoft Office applications, including Outlook, Excel, Word, and Teams.
• Ability to work independently with minimal supervision while collaborating effectively within a global team environment.
• Ability to quickly learn new technologies, systems, and processes.

Preferred Qualifications

• Bachelor's Degree in Human Resources, Business Administration, Psychology, or a related field.Experience supporting onboarding, employee lifecycle administration, HR operations, or recruiting operations processes.
• Experience in a shared services, business process outsourcing (BPO), or global business services environment.
• Experience with Workday, FreshService, I-9 administration, or similar HR technology platforms.
• Experience supporting a global workforce and working with cross-functional stakeholders.
