SUMMARY
The Facilities Office Assistant, Operations for Brooklyn Sport & Entertainment, oversees logistics of supply ordering, workspace experience, financial tracking, and spending trends. The individual will manage & maintain the Operations department’s budgetary forecast, unforeseen expenses, and capital improvement budgets for the fiscal year. This role will be highly organized and able to maintain and upkeep all operations tracking for all Brooklyn Sports & entertainment facilities & entities. The individual will also support facility workspace management, along with on & off boarding process. This includes conducting audits of seating assignments, credentials, keys, space coordination, asset mapping, and emergency planning across all BKSE operations properties.
The Facilities Office Assistant will report to the Senior Director of Operations.
WHAT YOU WILL DO
- Manage the office and facilities supplies inventory: reorder consumables, track expenses, supply usages, and equipment replacements.
- Support the onboarding and offboarding process for all Brooklyn Sports & Entertainment staff, including access badges, parking, equipment assignment, workspace setup, conducting orientation training, and keeping documentation of tracking assets assigned to each staff.
- Assist with coordination of moves, small facilities projects, and event logistics.
- Assist with shipping & receiving operations, including receiving shipment, coordinating delivery or pick up, and maintaining shipment records.
- Maintain filing systems and accurate record of contracts, warranties, and service agreements.
- Ensure office areas and shared spaces meet cleanliness and safety standards.
- Coordinate vendor selection, obtain quotes, negotiate contracts, and monitor vendor performance and compliance with service-level agreements.
- Assist in maintaining spare parts, tools, and supplies inventory; order materials and control costs.
- Assist in ensuring compliance with building codes, OSHA, fire codes, ADA, environmental and company policies; coordinate required inspections and permits.
- Assist and coordinate maintenance budget and track expenses.
- Provide occasional front-desk coverage and basic receptionist duties as needed.
WHAT YOU WILL BRING
- 1-3 years in facility or event management.
- Bachelor's Degree in Facility Management, Business Administration, or a related field.
- Proficiency in facility management software and tools.
- Proficient with Microsoft Office (Excel, Word, and Outlook).
- Familiarity with basic accounting/purchasing processes (POs, invoice routing) is a plus
- Knowledge of sustainability practices and energy management.
- Ability to lift up to 50 lbs.

COMPENSATION
$27.88 - $31.00 per hour

WORK ENVIRONMENT
The incumbent will be primarily based out of the Brooklyn Basketball Training Center and our office environment in Brooklyn, NY.
Travel Requirements: 10% travel required, primarily within Brooklyn and the New York City area.
