Executive Assistant – Group Executive, Improvement, Strategy & Corporate Affairs

As an Executive Assistant, you will provide high-quality, proactive and confidential executive support to the Group Executive, Improvement, Strategy & Corporate Affairs. This is a pivotal role that contributes to the smooth operation of the portfolio through exceptional coordination, communication, organisation and follow-through.

Please note, this position is a Full Time, Permanent Opportunity based at our corporate office in Ann St.

Your part in our UnitingCare team:

• Provide proactive, professional and confidential executive support that enables the Group Executive to operate effectively across a complex and high-profile portfolio.
• Manage a complex diary, inbox, meeting commitments and forward schedule, ensuring time, priorities and follow-up are well coordinated.
• Coordinate Executive Leadership Team, senior leadership, Board and governance meeting requirements, including papers, presentations and briefing materials.
• Keep track of actions, deadlines and emerging priorities, anticipating what is needed and ensuring commitments are followed through.
• Work closely with executive assistants, senior leaders and stakeholders across UnitingCare to coordinate meetings, communications, actions and next steps.
• Coordinate workshops, events, functions and meetings that support portfolio priorities and effective engagement.
• Act as a trusted point of coordination across the portfolio, helping to connect information, priorities and actions so things run smoothly.
• Support purchasing card administration, approvals, invoices and other business unit administration requirements.
• Contribute to the continuous improvement of executive and administrative processes.

What makes a difference for us?

• Significant experience providing executive support to a senior executive, general manager, board, committee or senior leadership function.
• Demonstrated ability to manage complex diaries, correspondence, competing priorities and time-sensitive workflows.
• Exceptional written communication skills, including experience preparing correspondence, reports, presentations, agendas, minutes and briefing papers.
• High level of discretion, professionalism and confidentiality.
• Exceptional attention to detail and the ability to connect the dots across priorities, people, information and actions in a complex executive environment.
• Strong organisational skills and the ability to stay calm, responsive and effective in a fast-paced environment.
• The confidence and judgement to build trusted relationships with executives, senior leaders, executive assistants and stakeholders across the organisation.
• A genuine alignment with UnitingCare’s mission and a commitment to contributing to a respectful, purpose-led team culture.
• Advanced Microsoft Office skills, including Outlook, Teams, SharePoint, PowerPoint and Excel.
• Confidence to satisfy the relevant probity checks required by legislation or policies. This may include:Nationally Coordinated Police CheckRight to Work in Australia

Highly Regarded

• Qualification in Business Administration, Governance, Communications, Project Coordination or a related discipline.
• Previous experience supporting health and aged care businesses, consulting, strategy or project management teams
