As a Customer Service Front Office Regular Specialist, you will be the primary point of contact for customers, ensuring a seamless experience throughout the order-to-delivery process. You will resolve inquiries, coordinate with internal and external stakeholders, and proactively identify solutions that enhance customer satisfaction and operational efficiency. Working independently, you will also contribute to process improvements, operational projects, and business reporting.

Responsibilities:

• Data processing: Receive, process, and manage customer orders accurately and efficiently, including order entry, verification, and confirmation, while adhering to established procedures and deadlines.
• Customer Communication: Assist customers with inquiries, requests, and concerns in person, over the phone, or via email, ensuring prompt and courteous service at all times. Provide accurate information to customers regarding products, services, pricing, promotions, policies, and procedures, addressing any questions or uncertainties to ensure clarity and understanding.
• Issue Resolution: Investigate and resolve customer complaints, discrepancies, or issues effectively, employing problem-solving skills, empathy, and diplomacy to achieve satisfactory outcomes and maintain positive customer relationships.
• Order Processing: Monitor the status of orders throughout the fulfillment process, liaising with relevant departments and external customers to ensure orders reach customers within specified timeframes.
• Cross-functional Collaboration: Collaborate effectively with internal departments such as sales, marketing, operations, finance and IT to address customer needs, resolve issues, and facilitate seamless communication and workflow.
• Invoice and Billing Support: Generate invoices, statements, and billing documents accurately based on customer orders, terms, and pricing agreements.
• PPG Way: Promote PPG Way values and changes coming from local management and endorses the same.

Qualifications:

• Secondary education or higher, with 3-5 years of relevant experience in customer service or a related field.
• Fluent German (written and spoken) and communicative English skills.
• Experience in telephone and email communication with customers.
• Proficiency in Microsoft Office applications, particularly Excel and Word.
• Strong communication and interpersonal skills.
• Ability to work effectively both independently and as part of a team.
• Strong problem-solving skills and a proactive approach to resolving customer issues.
• High level of accuracy, attention to detail, and conscientiousness.
• Experience in the automotive industry is an advantage.
