1. Summary

We are looking for a detail-oriented Agreement & Billing Specialist with strong experience in contract administration, agreement management, and billing operations, preferably within an MSP or IT services environment. The role involves reviewing customer contracts, MSAs, and SOWs, and accurately configuring agreements in ConnectWise Manage to ensure contracted services, pricing, billing terms, and service coverage are correctly reflected. The ideal candidate will have hands-on experience with ConnectWise Manage agreements, a good understanding of MSP billing models, and familiarity with NetSuite.

2. Responsibilities

• Review customer contracts, MSAs, SOWs, amendments, and renewals to identify services, pricing, quantities, billing frequency, contract terms, and renewal conditions.
• Set up and maintain customer agreements, service additions, billing cycles, and renewal settings in ConnectWise Manage.
• Ensure agreement configurations accurately reflect executed contracts, including service coverage, pricing, and applicable billing terms.
• Review quotes, proposals, and sales opportunities against signed contracts and flag discrepancies or unclear terms.
• Coordinate with Sales, Project Management, Service Delivery, and Finance to ensure project implementation aligns with contracted services.
• Identify out-of-scope services and ensure approved change orders or contract amendments are obtained before additional work proceeds.
• Manage agreement amendments, service additions/removals, price changes, renewals, escalators, and terminations.
• Track contract expiration dates and upcoming renewals, coordinating necessary actions with relevant teams.
• Conduct periodic agreement audits to verify billing accuracy and identify discrepancies between contracts, configured agreements, delivered services, and invoices.
• Reconcile agreement additions against vendor-billed services, including Pax8 and Microsoft CSP subscriptions, where applicable.
• Support Finance with month-end reviews, billing disputes, revenue-related queries, and audit requirements.
• Maintain accurate contract records, agreement documentation, reporting trackers, and process documentation.
• Generate reports on agreement status, upcoming renewals, pricing changes, and billing discrepancies.

Requirements

• Bachelor's degree in Business Administration, Finance, Accounting, or a related field; equivalent work experience will also be considered.

• 3+ years of experience in contract administration, billing operations, or finance operations, preferably within an MSP or IT services environment.

• Hands-on experience with ConnectWise Manage, particularly agreements, additions, billing cycles, and invoicing.

• Ability to review and interpret customer contracts, MSAs, and SOWs and translate contractual terms into system configurations.

• Strong understanding of MSP billing models, including recurring, fixed-fee, project-based, and time-and-materials billing.

• Proficiency in Microsoft Excel and experience with billing reviews, reconciliations, and data accuracy.

• Familiarity with NetSuite, particularly customer, item, and billing records, will be preferred.

• Experience with vendor and distributor billing reconciliation, such as Pax8 and Microsoft CSP, will be an advantage.

• Understanding of contract-to-cash processes, revenue recognition principles, and internal audit requirements.

• Strong analytical, organizational, and problem-solving skills with exceptional attention to detail.

• Excellent written and verbal communication skills, with the ability to coordinate across Sales, Finance, Project Management, and Service Delivery teams.
