Job Description

The Office of the Provost at the University of Nevada, Reno is seeking applications for an Administrative Assistant to join our team who enjoys a fast-paced environment, is passionate about higher education, and has the flexibility to change focus following the university's mission. Led by the Executive Vice President and Provost, this office supports the academic mission of the university and the related services. The position will serve as an active member of the Office of the Provost and will provide administrative assistance to various Vice Provosts and the Provost's Chief of Staff. The position will assist with office management, oversee the continuity of Office of the Provost purchasing, coordinate and schedule meetings and trainings, and serve on behalf of the office for events and activities. This is an opportunity for someone with a ready and willing attitude to play a role in exciting new projects while learning about the entire university system.

Responsibilities include, but are not limited to:

  • Resolve administrative questions and act as a liaison between faculty, staff, students, and the public

  • Read, screen and process incoming correspondence, mail, phone calls, and reports; forward items to the appropriate staff and administrators; diffuse upset customers

  • Stay current with University issues, problems, activities, and special interests

  • Maintain and prioritize various Vice Provosts and Chief of Staff's calendars

  • Coordinate and schedule meetings and trainings, prepare correspondence, communication, and reports, create, and distribute agendas, minutes and supporting documentation

  • Gather additional information, provide data, and communicate issues to the Vice Provosts and Chief of Staff as needed

  • Exercise discretion and judgment with highly sensitive and confidential information

  • Researches, assembles and develops various presentations, projects and reports for the Vice Provosts

  • Coordinate departmental communication initiatives; responsible for the timeliness of cyclical communications; create and send communications for the unit

  • Responsible for the departmental budget

  • Assist with fiscal and HR transactions

  • Serve as primary resource and contact for Vice Provosts initiated activates and other events

  • Coordinate logistical needs; organize, schedule, coordinate, ensure compliance with policies, collaborate with other departments (facilities, IT, police, etc.)

Essential Qualifications

  • This position requires graduation from high school or equivalent education and four (4) years of progressively responsible relevant work experience which included experience in one or more of the following areas: providing administrative/program support to professional staff and management; performing secretarial duties in support of a manager; coordinating communications between the manager, staff and program clientele; supervision of subordinate staff; researching information from internal and external sources; OR

  • One (1) year of experience as an Administrative Assistant III in Nevada State service; OR

  • An equivalent combination of education and experience as described above.

Additionally, this position requires experience using Microsoft Word and Excel.

Schedule

The typical work schedule is Monday through Friday from 8:00am to 5:00pm; this is subject to change based on organizational needs.

Compensation Grade

Grade 29

In classified service, salary is in Grade and Step. The Step is determined based on the Nevada Administrative Code. Salary placement above a Step 01 at initial appointment is determined based on the recruitment, the candidate’s qualifications, internal equity and budgets. A request to accelerate salary must be approved by Human Resources and abide by the Nevada Administrative Code.
