Working Environment & Core Schedule
- Role Title: Virtual Front Desk Medical Receptionist
- Status: Full-Time (40 Hours / Week)
- Schedule: Monday – Friday, 8:00 AM – 5:00 PM PST (Pacific Standard Time)
- Core Channels: Inbound/Outbound Phone System, Email, Digital Scheduling Tools

Top 3 Daily Tasks
- Appointment Scheduling: Book, confirm, reschedule, and optimize patient appointments to maintain a full clinic calendar.
- Heavy Call Handling: Manage high-volume inbound and outbound patient calls with a warm, professional, and clear phone presence.
- Email Management: Monitor, prioritize, and respond to patient inquiries and clinic emails promptly and accurately.
Core Responsibilities
- Manage continuous inbound calls, answering patient inquiries, triaging urgent calls, and taking thorough messages.
- Perform proactive outbound follow-up calls to confirm upcoming visits, fill last-minute schedule gaps, and remind patients of appointment requirements.
- Monitor incoming practice emails, answering general inquiries and forwarding clinical questions to appropriate staff.
- Maintain professional, polite, and patient-centered communication across all voice and written interactions.
Requirements
- English Proficiency: Native-level fluency in spoken and written English with a clear, warm, and highly articulate phone manner.
- Call Handling & Scheduling: Proven background handling high-volume calls and managing appointment calendars in an administrative or office setting.
- Communication Skills: Excellent written communication skills for managing administrative email correspondence.
- Demographic Preference: Female candidate preferred per practice guidelines.
- Remote Workspace: Quiet, private, HIPAA-compliant home office equipped with a reliable computer (PC/Mac), high-speed internet connection, backup power/internet solutions, and a noise-canceling headset.
Preferred Qualifications
