Alongside the private coaching practice, the business encompasses music performance, higher education, conference speaking, workshop facilitation and an upcoming book. Its work spans education, performance, coaching, trauma-focused practices, conferences and tours, with a strong focus on scaling operations and expanding its reach.

Role Overview

The business currently works with a creative, AI-savvy Virtual Assistant and is looking to bring on a second team member to complement the existing support structure.

The ideal candidate is highly organised, consistent and proactive, someone who keeps everything moving without needing to be chased. This person will identify gaps, introduce structure across multiple platforms and provide strategic input on content and business growth.

A key part of the role involves implementing agreed strategies over a set period, tracking performance and presenting clear insights and recommendations.

The ideal candidate is calm, dependable and solutions-focused, with a strong emphasis on execution, accountability and follow-through.

Key Responsibilities

• Manage a busy calendar and maintain Calendly across coaching, teaching, performance and speaking commitments.

• Monitor emails and multiple messaging and social media inboxes, flagging important communications and outstanding responses.

• Organise and maintain files, folders and systems using clear naming conventions, labels and colour coding.

• Develop and manage a content calendar, including editing and publishing existing video footage across social media platforms.

• Provide strategic recommendations to increase followers, engagement and organic growth while working with existing funnels and CRM systems.

• Execute agreed initiatives over approximately one-month periods, monitor performance and provide reports with insights and recommended next steps.

• Offer constructive feedback when strategies are unrealistic or underperforming, suggesting practical alternatives.

• Provide light Executive Assistant and project management support, coordinating with the existing VA to ensure projects remain on track.

• Prioritise organic audience growth and engagement rather than cold direct-message outreach.

Skills & Tools

• 3–4+ years of experience as a Virtual Assistant, Executive Assistant or Social Media/Content Assistant.

• Exceptional organisational skills, strong attention to detail and a natural preference for structured systems.

• Proven experience in social media content strategy, scheduling and publishing, with a portfolio and measurable results to demonstrate previous success.

• Experience editing short-form video content, including Instagram Reels and similar formats.

• Familiarity with marketing funnels, CRM platforms and scheduling tools such as Calendly.

• Confidence using AI-powered tools to improve productivity and streamline workflows.

• Excellent written and spoken English, with strong communication skills and the ability to provide proactive updates.

• A dependable, self-motivated approach with the ability to manage multiple priorities independently.

• Reliable internet connectivity and backup power to ensure consistent availability.
