Position Title: Tenant Account Coordinator

Office Location: St. Clair Ave East

Hybrid Model: 3 days a week

 

Position Overview

The Tenant Account Coordinator will work on a diverse portfolio of office, industrial and retail properties. The successful candidate will be responsible for a variety of services related to the administration of accounts receivable for specified retail and commercial properties inclusive of but not limited to Cash Receipts processing, Collection Calls, Tenant Statements, and updating collection notes in Power BI.

 

Responsibilities:

• Review daily bank statements and bank files for incoming funds and NSF payments.
• Promptly apply cash to tenant’s accounts receivable.
• Maintain tenant contact information.
• Contact tenant either by email or phone about arrears based on escalation guidelines.
• Work with Property Management team on account reconciliations, to update annual rental advise notices and send to tenant, and to prepare “PAD” for approval.
• Attend monthly Property Management Accounts Receivable meetings, take minutes, and track action items.
• Update Power BI for collection notes.
• Liaise with the Revenue Accounting team on any outstanding bank items for quick resolution.
• Track bad debt write off forms, ensuring approvals are in-line with policy and adequate support is attached.
• Perform other duties, as assigned.

 

Qualifications:

• 3-5 years real estate property administration experience.
• Knowledge of commercial real estate documents.
• Strong understanding of property management terminology, principles, and procedures.
• Working knowledge of basic real estate accounting principles.
• Excellent written and verbal communication skills combined with an approachable manner.
• Experience with JDE or equivalent property management software (Yardi or SAP) is an asset.
• Strong customer service orientation.
• Excellent planning and organizational skills with exceptional attention to detail for reliable accuracy.
• Ability to work well under pressure, multi-task and meet deadlines.
• Strong computer skills, specifically with Excel.
• Accounts Receivable experience is an asset.
• A self-starter with the ability to work independently and as part of a team.
