The Office of the Executive Dean for Research (EDR) based in the Miller School of Medicine (MSOM), has an exciting opportunity for a Hybrid position for a Sr. Manager, Sponsored Programs. 

CORE JOB SUMMARY                 

This role supports the research mission of the University of Miami, MSOM, and the goals of the Executive Dean for Research Office. Applicants must have relevant federal grant administration experience with federal sponsors such as: NIH, DOD, NSF, to be considered for this role.

The Senior Manager, Sponsored Programs directs and oversees all administrative and financial aspects of the Sponsored Programs division at the assigned facilities. The Senior Manager, Sponsored Programs operates with the goals of increasing sponsored funding levels and the output of funding proposal, as well as maximizing the use and efficacy of existing research funding dollars. Further, the incumbent develops and implements policies and methods that further these goals.

CORE JOB FUNCTIONS                                                                                           

  • Identifies potential donors or sources of funding and plans outreach strategies.

  • Participates in the development of grants applications and proposals.

  • Schedules and oversees planning for special events that publicize the organization and its programs to the community.

  • Trains, mentors, and supervises sponsored programs staff members, and prepares performance reports.

  • Negotiates contractual provisions with potential partners.

  • Develops and provides reports or documentation needed to secure and maintain funding and grants. Ensures that grants and contracts adhere to organizational standards.

  • Acts as department expert and primary point of contact on funding issues and disputes.

  • Establishes and continuously assesses the effectiveness of the internal controls within the unit and compliance with University policies and procedures.

  • Ensures employees are trained on controls within the function and on University policy and procedures.

Department Specific Functions

  • Demonstrate knowledge of federal regulations related to research administration, including OMB Uniform Guidance, Cost Accounting Standards (CAS), and Federal Acquisition Regulations (FAR).

  • Oversee proposal submissions for an assigned portfolio of departments, faculty, and researchers to federal agencies, foundations, and industry sponsors.

  • Collaborate with faculty to develop proposal budgets, review sponsor guidelines, and coordinate the collection of required documentation to meet sponsor and Office of Research Administration (ORA) deadlines.

  • Oversee the submission of institutional training grants across the medical school, including NIH T32, R25, and R38 programs.

  • Work collaboratively within the Office of the Executive Dean for Research (EDRO) and with the departments and programs supported by RDS, including the EDRO Internal Awards Program.

  • Serve as a liaison between faculty and central administrative and compliance offices.

  • Participate in the preparation and submission of annual progress reports, including NIH Research Performance Progress Reports (RPPRs) through eRA Commons.

  • Assist faculty with post-award activities, including preparation and interpretation of financial reports, forecasting, effort distribution, and effort certification. Provide guidance on allowable and unallowable expenditures throughout the award lifecycle.

  • Work directly with the Office of Research Administration and faculty to facilitate non-funded sponsored agreements, including data use agreements (DUAs), material transfer agreements (MTAs), non-disclosure agreements (NDAs), no-cost extensions, and amendments.

  • Provide oversight and submission support for sponsor-related materials, including Just-in-Time (JIT) documents, post-submission requests, PRAMs, biosketch reviews, and other supporting documentation.

  • Manage a portfolio of faculty with responsibility for post-award activities, including financial reporting, forecasting, effort management, and compliance oversight.

  • Provide guidance on allowable and unallowable expenditures. Review and approve requisitions, expense reports, and purchase orders for assigned sponsored projects within Workday.

  • Meet regularly with faculty and respond promptly to requests, questions, and communications.

  • Maintain access to and proficiency in University of Miami financial and research administration systems, including IBIS, Workday, and Velos.

  • Complete all required ORA onboarding and continuing education programs to maintain system access and compliance requirements.

  • Perform other duties, ad hoc reporting, and special projects as assigned by Executive Dean for Research leadership. Demonstrate exceptional attention to detail and organizational skills.

  • Possess strong written and verbal communication skills

Education:

Bachelor’s degree in relevant field

Experience:

Minimum 7 years of relevant experience.
