The University of Miami/UHealth Department of Medicine has an exciting opportunity for a Full Time, Department Administrator, Myeloma and Transplant and Cellular Therapy to work in the UHealth Campus.

Core Summary 

The Administrator  performs administrative work in conjunction with other department administrators to provide leadership to specific functional areas within the organization that have large FTE counts or significant total revenue figures.

Core Responsibilities                                                                                                                                                         .

•    Provides leadership in developing business strategies and tactics to support the goals of the division and overall Health System’s strategic plans for market growth and development.
•  Heads performance management processes and outcomes for employees and physicians.
•  Guides managers in developing skills in and implementation of performance management practices.
• Supports professional development of the workforce.  Performs needs assessments to determine continuing education needs of staff.   Monitors staff and physician satisfaction. 
•  Provides administrative oversight to the division’s practices, supporting the employment of quality improvement processes. 
•  Pursues the spread of best practice in operations, consistent with overall network goals.
•  Directs the planning and strategic formation of the clinical program’s goals.
•  Directs the development of policies and procedures for network-wide use in the clinical activities of the practices.   Analyzes and reviews financial and productivity reports.
•  Establishes and continuously assesses the effectiveness of the internal controls within the unit and compliance with University policies and procedures.
• Ensures employees are trained on controls within the function and on University policy and procedures.

Bachelor’s degree in relevant field 

Minimum 5 years of relevant experience

Department Specific Functions:

The Department Administrator will provide expertise and manage the day to day operations for the Divisions of Myeloma and Transplantation Cell Therapy which include 16 faculty, 23 advanced practice providers. The combined divisions produce annual clinical revenue of approximately $10.2M and approximately 15K ambulatory visits. 

• Collaborate with Sylvester Comprehensive Cancer Center (SCCC), Oncology Service Line (OSL), and Myeloma Institute leaders to enhance academic, clinical, and research practice in plasma cell malignancies and myeloma:
  • Implement strategies for the Transplantation & Cellular Therapy (TCT) division on improving Chimeric Antigen Receptor (CAR) T-cell therapies and outcomes.
  • Collaborate with hospital leadership to ensure continued accreditation of transplant programs.
  • Collaborate with the Sr. Department Administrator and SCCC on space allocation including research labs, Leadership offices, as well as administrative areas.
• Manage faculty related processes:
  • Collaborate with SCCC, OSL, Physician Recruitment, and senior Department of Medicine leadership on PSGC submissions, recruitment packages, offer letters, and compensation plan proposals. Ensures fair standards and equity across divisions.
  • Coordinate with Office of Faculty Affairs and Chair’s Office Leadership on:
    • Annual reappointments
    • Non-reappointments
    • Investigations
    • FTE and salary reductions
    • FMLA requests
    • Voluntary Appointments
    • Medical faculty certificates
    • Board exemptions
    • Department of Medicine Faculty Recruitment Tracker
• Manage the physician compensation plan for both faculty and staff physicians:
  • Provide oversight and guidance on provider clinical effort (CFTE) requirements.
  • Track and monitor actual vs target wRVUs.
  • Review and ensure internal effort distribution reports (CARTO- Clinical Administrative Research Teaching & Other) are accurate and updated on a monthly basis. Ensure EDR, LDR, PAA’s and costing allocations are completed and consistent with the CARTO.
  • Produce variance reports related to division charges and collections, and physician work RVUs.
  • Collaborate with DOM Finance and SCCC Finance on calculation and invoicing of monthly clinical loss per individual MOUs for faculty and staff physicians.
  • Manage TERMS reporting for medical directorships.

• Responsible for developing and implementing strategies to enhance operations, clinical outcomes, patient experience and program growth:
  • Manage complex clinical operations including ambulatory and inpatient services
  • Collaborate with SCCC Site Directors on clinical operations at 5 satellite locations.
  • Review and approve provider clinical template builds/changes in adherence to UMMG ambulatory guidelines and DOM policies.
