About International House 

Truly a unique and inspirational organization, International House at UC Berkeley is a non-profit residential and program community committed to fostering intercultural respect, mutual understanding and leadership skills, so that residents and alumni promote a more equitable and peaceful world. 

I-House is home to graduate and undergraduate students, visiting scholars and interns from across the United States and around the world. The building operates year-round as a residence, a dining hall, a conference and events venue and a program center, which means the systems that run it touch admissions, finance, housing operations, dining, facilities, security and human resources at the same time. 

Position Overview 

The Product Manager, Admissions and Finance Systems owns the systems that move a resident from application through to payment. You will support the Admissions and Financial Aid Department with the annual application build, billing and payment automation, and the reporting that tells the organization whether any of it is working. 

This is a product role rather than a help desk role. You will decide how a process should work, build or configure it, test it, document it, and then own the consequences when the cycle runs. The application build in particular is a fixed calendar commitment: it has to be complete and tested before offers go out, and there is no manual fallback. 

You will work most closely with Admissions and Financial Aid, Accounting, Housing Operations and the technical team, and with StarRez and our payment providers. 

Key Responsibilities 

StarRez and the application cycle 

• Build, configure and test the annual application in StarRez for each cycle, to a deadline set by the offer calendar, and hand it to the Director of Admissions and Financial Aid for sign-off. 

• Own day to day StarRez administration and troubleshooting, including terms, rates, room and rate assignment, booking statuses and the business rules behind them. 

• Maintain the integrity of booking and contract records. Reporting problems are solved in the reporting, not by deleting records. 

• Support move-in and move-out cycles, including the access, card and data steps that have to happen in the right order. 

Billing, payments and finance automation 

• Own the accounting automations that apply late fees and charges, run payment schedules, and generate the resident statement of account. 

• Own the payment integrations and the routing behind them, including Stripe and TouchNet, and the webhook and signing key configuration each provider requires. 

• Make sure the resident-facing account summary in the portal reflects what the ledger actually says, including awards and scholarships that are split across terms. 

• Work with Accounting on reconciliation, deferred revenue and the accounts receivable tie-out, and make the systems produce what the auditors ask for. 

Integrations across the resident lifecycle 

• Own the data flow between StarRez and the operational platforms, including Atrium for meal plans and account balances, Verkada for access and resident photos, Adobe Sign for contracts, and WhenToWork for student worker scheduling and access. 

• Build and maintain Power Automate flows that support admissions, finance and housing operations, and make sure each one is documented and monitored. 

• Diagnose and resolve integration failures, and where a failure repeats, change the process rather than repeating the fix. 

Reporting and data 

• Own the data models and reporting infrastructure in Power BI that serve admissions, occupancy, revenue and resident satisfaction. 

• Own the survey and satisfaction data pipeline, including the Qualtrics extract and the load that feeds the weekly reporting. 

• Make sure each report has a defined owner, a refresh that is monitored, and a definition that people agree on. 

Documentation and continuity 

• Document systems, processes and business rules to a standard that lets a colleague run the cycle without you. 

• Export code, workflow configurations, integration logic, database schemas and related artefacts to the shared repository. 

• Keep an accurate record of which system owns which decision, and where each responsibility sits if you are unavailable.

Required Qualifications 

• Three or more years of experience owning a business system or product end to end, or an equivalent combination of education and experience. 

• Demonstrated experience configuring and administering a complex operational platform, ideally a student housing, CRM, ERP or billing system. 

• Strong applied data skills. You can query a database, reason about a schema, and build reporting that other people trust. 

• Experience building automation, for example with Power Automate, APIs or a comparable toolset. 

• Understanding of billing concepts, including charges, payment schedules, statements, refunds and reconciliation. 

• The discipline to hit a fixed calendar deadline on a build that other teams depend on. 

• Clear written communication and genuinely good documentation habits. 

Preferred Qualifications 

• Direct StarRez experience, in particular the annual application build. 

• Experience with Stripe, TouchNet or comparable payment platforms and their webhook and reconciliation models. 

• Experience with Power BI data modelling. 

• Experience in higher education, student housing, or a non-profit finance environment. 

• Familiarity with Atrium, Verkada, Adobe Sign, Blackbaud or Qualtrics. 

What Success Looks Like 

• The application cycle is built, tested, and signed off ahead of the offer calendar, every cycle. 

• Charges, late fees and statements are correct without anyone checking them by hand, and residents see the same numbers we do. 

• Reporting is current, owned and trusted, and a stopped data load is noticed by monitoring rather than by a director asking why a dashboard is empty. 

• The systems you own can be operated by someone else while you are on leave. 

Working Conditions 

This position requires regular on-site attendance at International House, 2299 Piedmont Avenue, Berkeley. Additional hours are expected around the application build, the offer cycle, and move-in. 

Compensation and Benefits 

• FLSA Status: Exempt, full-time (40 hours per week) 

• Pay range: $85,000 - $90,000 annualized 

• Pay is commensurate with experience and qualifications

• Retirement: Eligible employees may participate in our 403(b)-retirement plan. I-House offers a 100% employer match on employee contributions up to 5% of eligible compensation and an additional employer non-elective contribution for eligible employees, in accordance with the terms of the plan.  

• Time-off: Accrue up to 18 days of paid vacation annually, earn 14 paid holidays each year, and accrue paid sick time.  

• Location: This role requires on-site presence and engagement with staff, leadership, and stakeholders in Berkeley, CA. No remote work options are available for this role.
