Job purpose:

The Operations Assistant is part of NPA’s Operations Team in Dhi Qar, Southern Iraq and supports the HoSO and OM with operational administrative related work. The operations Assistant shall prepare and follow up on correspondence between the NPA operations and other stakeholders such as the Regional Mine Action Centre South (RMAC).

The position is based in Dhi Qar, Southern Iraq, regular travel to the field operations to support operational matters will be required.       

Responsibilities:

General responsibilities:

• Assist the HoSO and OM in operational administrative tasks, including HR/Log/Admin tasks.
• Maintain and update operational reporting, ensuring (IP’s, TO’s, Completion Reports etc.) are uploaded on the SharePoint and the HoSO and OM is informed.
• Responsible for ensuring that the Operational Task Tracker is updated.
• Provide assistance to the Team Leaders in any administrative Tasks.
• Keep the HoSO and OM updated on all operational administrative matters.  
• Support the HoSO and OM in Translation duties.    

Specific duties:

• The Operation Assistant shall prepare all formal request and correspondence to RMAC-s on operational matters.
• Prepare (finalise and QA) Task Implementation Plans, work plans and other official document based on operational inputs for final review by the HoSO and OM before submission to RMAC-s.    
• In support of HoSO and OM, the Operations Officer shall be the focal point on administrative operational matters between NPA and the Regional Mine Action Centre-South (RMAC-s)
• Prepare Task Dossiers for operational Teams.
• Handle the petty cash and PRs
• Act as reserve field medic when required.
• Any additional duties may be required.

Required qualifications:

Must have:

• Good knowledge on office administrative procedures.  
• A minimum of two years’ experience in Mine Action work.
• A certified medical qualification.
• Good computer literacy, familiar with all common software and communication tools.   
• Verbal and written proficiency in Arabic and English.
• Valid driving License, experience and proficiency in driving vehicles with manual transmission.   

Desirable:

• Experience working with databases and GIS tools. 
• Former interpreter/ translation experiences.
• Former experience working for international organizations.  

Personal Competencies:

• The positions require a high degree of accuracy and quality assurance of internal and external documents and a systematic filing of all relevant documents.  
•  Excellent communication and cooperation ability with both national and international personnel and stakeholders.
