HP GTM Marketing – Senior Event Producer

Description -

Summary

The Senior Event Producer serves as the operational engine behind HP's flagship customer engagements, acting as the connective tissue across Marketing, Sales, Business Units, agencies, and event partners to deliver exceptional customer experiences at scale.

This role is responsible for translating event strategy into flawless execution, building scalable processes, managing complex workflows, and bringing strategic customer events and industry conferences to life.

At HP's largest events, including a major presence at MWC, the Senior Event Producer operates like an air traffic controller balancing customer priorities, executive schedules, meeting capacity, staffing resources, budgets, logistics, and production requirements in real time.

Success depends on the ability to keep an entire ecosystem moving, with hundreds of customers, dozens of executives, and multiple internal and external teams, while making the experience appear effortless.

You will oversee event delivery and resource planning, including production, logistics, hospitality, staffing, event technology, and executive engagement operations, including the flawless execution of hundreds of customer meetings, executive briefings, and hospitality experiences.

The ideal candidate combines exceptional operational rigor, systems thinking, and stakeholder diplomacy. They thrive in complexity, navigate ambiguity with confidence, and deliver high-profile programs with precision and quality.

Key Responsibilities

Event Delivery & Execution

Translate strategic objectives into executable plans, governance structures, budgets, staffing models, and operational workflows.

Serve as the primary owner of event readiness, stakeholder alignment, and execution, ensuring programs are delivered successfully from planning through on-site delivery.

Executive Engagement & Meeting Operations

Own the operational delivery of executive engagement programs and large-scale meeting portfolios.

Orchestrate complex executive engagement ecosystems, balancing customer priorities, executive availability, meeting capacity, hospitality requirements, and event logistics to deliver seamless experiences at scale.

Design and manage meeting operations, optimizing the allocation of executive time, meeting space, staffing resources, and customer engagement opportunities to maximize business impact across portfolios of 300–400+ strategic meetings.

Establish processes, workflows, and technology integrations that ensure exceptional customer and executive experiences before, during, and after the event.

End-to-End Event Production & Operations

Lead the full lifecycle of customer events from planning and procurement through on-site execution and post-event wrap-up.

Own event production, logistics, staffing, hospitality, transportation, venue management, fabrication, installation, dismantle, and operational readiness.

Develop and manage:

  • Project plans and timelines

  • Run-of-show documentation

  • Staffing and training plans

  • Risk management and contingency plans

  • Executive support plans

  • Budget tracking and forecasting

Own event budget management, forecasting, vendor spend, and financial reconciliation, ensuring programs are delivered within approved budgets and business objectives.

Ensure events are delivered on schedule, within budget, and at HP quality standards.

Cross-Functional Program Leadership

Serve as the central hub connecting internal stakeholders and external partners, including Global Marketing, Market Marketing, Sales and Executive teams. Motivate and coordinate cross-functional teams and agency partners toward shared event objectives, ensuring strict adherence to timelines, budgets, quality standards, and business outcomes.

Manage multiple, complex workstreams in a fast-paced environment, navigating competing priorities, making informed trade-offs, and balancing customer experience, business objectives, and operational constraints.

Comfortably communicate complex event strategies, operational plans, and performance metrics to senior leadership.

Vendor, Agency & Partner Management

Manage agencies, production partners, venues, and suppliers, overseeing contracts, procurement, budgets, deliverables, and performance to ensure successful event execution.

Event Operations Centre of Excellence

Establish and evolve best practices, playbooks, governance models, and operational standards across HP's strategic event portfolio.

Drive consistency, scalability, and continuous improvement across flagship events, executive engagement programs, and third-party sponsorships.

Education & Experience

7+ years of experience in event operations, executive engagement, customer experience programs, business operations, program management, supply chain or other complex cross-functional leadership roles.

Proven experience delivering flagship enterprise events, executive engagement programs, and large-scale meeting portfolios involving multiple stakeholders, agencies, and senior executive audiences.

Four-year or Graduate Degree in Business Administration, Marketing, Communications, or related discipline.

Knowledge & Skills

• Systems thinker with the ability to assess interconnected dependencies, optimize resources, and make sound decisions in dynamic, high-pressure environments.

• Demonstrated ability to influence without authority and build alignment across highly matrixed organizations.

• Proven ability to balance competing priorities, make informed trade-offs, and optimize resources across complex stakeholder environments.

• Experience managing multi-million-dollar event budgets, production schedules, and vendor ecosystems.

• Exceptional operational planning, resource allocation, and program management skills with strong attention to detail.

• Strong understanding of event technology platforms, registration systems, CRM integrations, meeting management tools, and event operations technology.

• Exceptional executive presence with the ability to communicate and present complex operational strategies and performance metrics to senior leadership.

• Strong communication and stakeholder management skills with the ability to influence cross-functional teams.

• Strong judgment and real-time decision-making skills, with the ability to navigate ambiguity and solve problems under pressure.

• Willingness to travel globally and work flexible schedules in support of event execution.
