POSITION SPECIFICS
The Pennsylvania State University, Center for Counseling and Psychological Services (CAPS), University Park, has an opening for a Health Services Assistant starting November 2, 2026.
The Health Services Assistant is often the first point of contact for our student clients, visitors, and campus partners. In this important role, you will help create a positive and welcoming experience while providing administrative support in a busy counseling office environment.
CAPS is seeking someone who enjoys helping others, thrives in a collaborative setting, and communicates effectively. The ideal candidate is detail-oriented, experienced in maintaining confidentiality and handling sensitive information, and eager to learn new technologies that support student clients' care.
This full-time position is based in the Student Health Center and follows a Monday through Friday schedule from 8:00 a.m. to 5:00 p.m., with a one-hour lunch break.
This is a full-time, year-round position (100% FTE) that may be filled at either the Support or Intermediate Level, depending on the successful candidate's qualifications and experience.
Responsibilities include:
- Answering and directing calls
- Welcoming student clients and visitors
- Scheduling appointments
- Maintaining records
- Managing office communications
- Assisting with a variety of administrative functions
While not required, experience with the following is helpful:
- Electronic medical record (EMR) systems
- SAP Concur Travel
- 25Live room scheduling
- Purchasing card (P-card) expense reporting
- PSUbuy
- Purchasing processes (including ordering with tax exempt status)
- Coordinating and placing catering orders for meetings

MINIMUM EDUCATION, WORK EXPERIENCE & REQUIRED CERTIFICATIONS
If filled as Health Services Assistant - Intermediate Support, this position requires: General Equivalency Diploma (GED) or High School (HS) 2+ years of relevant experience; Relevant education accepted in lieu of experience Required Certifications: None If filled as Health Services Assistant - Support, this position requires: General Equivalency Diploma (GED) or High School (HS) No prior relevant work experience required Required Certifications: None
BACKGROUND CHECKS/CLEARANCES
This position requires the following clearances in addition to applicable background checks: PA State Police Criminal Background Check, PA Child Abuse History Clearance Form, and Federal (FBI) Fingerprint Criminal Background Check.Penn State does not sponsor or take over sponsorship of a staff employment Visa. SALARY & BENEFITS
The salary range for this position, including all possible grades, is $36,888.00 - $58,836.00.
