JOB OVERVIEW

IRC has worked in Poland since February 2022, when it launched an emergency response to the war in Ukraine as part of its wider programming across Central and Eastern Europe. IRC Poland delivers its work both directly and through long-term partnerships with local civil society and has collaborated with more than 25 Polish non-governmental organisations, primarily in Warsaw, Wrocław, Katowice, and Poznań. In 2025, IRC Poland reached 39,930 clients, including 28,319 women, across 52 projects.

IRC Poland's work is organised around three programme areas: protection and access to rights; economic empowerment and livelihoods; and education and integration. The MEAL / Programmes team relies on robust, well-managed data systems, including CommCare, KoboToolbox and OpenFn, to monitor results, ensure accountability, and support evidence-based decision-making across the country programme.
 

Position Purpose

The Data Analyst supports IRC Poland's MEAL / Programmes function by connecting the organisation's data systems and turning them into clear, usable reports. The role is focused on three areas: setting up and maintaining data integrations in OpenFn, building a reliable connection between CommCare and Excel, and developing Excel-based reports that bring together CommCare and KoboToolbox data for use by partners and internal teams.

IRC Poland is one of the first offices in the organisation to use OpenFn, so the role also involves learning the platform from the ground up and establishing a working setup that others can build on in the future.
 

KEY RESPONSIBILITIES

1. OpenFn Data Integration

  • Maintain integrations between KoboToolbox, CommCare and other programme databases through OpenFn, APIs and ETL processes.

  • Monitor automated data flows and troubleshoot synchronisation, duplication and data-transfer issues as they arise.

  • Document database structures, integrations, data flows and system changes to keep the integration clear and maintainable over time.

  • Recommend and implement automation solutions that reduce manual data transfer and the risk of error.
     

2. CommCare-to-Excel Connection

  • Establish and maintain a reliable connection between CommCare and Excel through APIs and ETL processes, ensuring CommCare data can be accessed and refreshed directly within Excel.

  • Monitor the CommCare-to-Excel data flow on an ongoing basis and troubleshoot synchronisation or data-transfer issues as they arise.

  • Ensure the connection continues to function accurately as CommCare forms, structures and reporting requirements evolve.
     

3. Excel Reporting

  • Develop and maintain dashboards and reporting tools in Excel, combining data from CommCare and KoboToolbox so that reports remain live and up to date.

  • Prepare regular reports on client reach, services delivered, results and progress against targets.

  • Prepare datasets and tables to support monthly, quarterly, final and ad hoc reporting requirements.

  • Organise reports so that partners and internal teams can use them effectively, presenting information such as indicator progress and registrations by region and by partner.

  • Translate complex data into clear findings and recommendations for non-technical stakeholders.
     

JOB REQUIREMENTS

Required Qualifications and Experience

  • University degree in data analysis, computer science, statistics, or a related field (or equivalent practical experience).

  • Advanced proficiency in Excel, including building reports and dashboards that pull in and organise data from external sources (e.g. Power Query, pivot tables, formulas).

  • Practical experience with CommCare, or with a comparable digital data-collection or case-management platform.

  • Familiarity with KoboToolbox, or the ability to learn it quickly.

  • Experience with OpenFn, or a comparable data-integration / workflow-automation tool (e.g. Zapier, Make, Talend), is an advantage but not required. OpenFn is new to IRC Poland, so comfort learning independently matters more than prior hands-on experience with this specific tool.

  • Strong attention to detail when consolidating and checking data from multiple sources.

  • Ability to organise and present data clearly for different audiences, including non-technical colleagues and partners.

  • Professional working proficiency in English and Polish; Ukrainian will be an advantage.

  • Ability to learn new tools and platforms quickly and troubleshoot issues independently.

  • High level of attention to detail and accuracy.

  • Ability to organise and present data clearly for technical and non-technical audiences alike.

  • Proactive, self-directed approach — comfortable being the first to figure something out.
     

Performance Indicators

  • The OpenFn integration is functional, documented and properly maintained.

  • CommCare data is reliably and accurately connected to Excel.

  • Excel reports and dashboards are accurate, up to date, and easy for partners and internal teams to use.

  • Data-integration and connection issues are identified and resolved promptly.

Compensation: (PLN100/hour). This is a contractor role. Compensation is based on various factors including the labor market, job type, internal equity, and budget.  Exact offers are calibrated by work location, individual candidate experience and skills relative to the defined job requirements.
