Job Role: Business Automation & Systems Specialist (Zoho, PHP, AI)

Compensation range: $2,000 - $3,000 AUD  Monthly

Engagement type: Full-time, Independent Contractor Agreement

Work Schedule: This role is expected to align with the AU business hours (approx. 9:00AM - 6:00 PM, Monday to Friday) for collaboration.

Who The Client Is:

The client is an Australian-based software company specialising in digital forensics, eDiscovery, and information-governance technology. They develop software that helps organisations search, analyse, and manage large volumes of electronic data for areas such as legal matters, investigations, compliance, and cybersecurity. Their products are used by enterprises, financial institutions, government agencies, and law-enforcement organisations.

Role Overview:

This isn’t your typical developer role. We’re looking for a MacGyver-type problem solver who can connect systems, build clever solutions, and make complex business processes run seamlessly. The ideal candidate is someone who combines technical capability with curiosity, initiative, and a strong “figure it out” mindset.

In this role, they’ll be responsible for building and managing the company website using PHP, automating financial and marketing workflows through Zoho and automated invoicing, configuring AI prompts, and developing smart chatbots that improve business productivity and operational efficiency. Formal qualifications are important, but practical capability, adaptability, and the ability to independently solve problems are equally valued.

Key Responsibilities

PHP & Website Development

• Build, maintain, and edit our custom company website code using PHP, HTML, CSS, and JavaScript.
• Develop custom PHP scripts, template files, and backend functionalities or plugin/CMS extensions.
• Troubleshoot, debug, and optimize server-side PHP performance, database queries, and web forms.

Zoho & Automated Invoicing

• Configure, customize, and maintain Zoho (Zoho Books, CRM, Flow, Deluge, or Creator) to automate billing and invoicing workflows.
• Streamline recurring invoicing, payment gateways, automated payment reminders, and data sync between sales and finance systems.

AI Prompts & Chatbot Integration

• Build, train, and deploy AI chatbots for client engagement, customer support, or internal queries.
• Engineer, optimize, and automate AI prompts (e.g., OpenAI/LLMs) to enhance operational efficiency, email drafting, and content processing.

Business Process & Marketing Automation

• Map, redesign, and automate routine business tasks, email marketing sequences, and cross-platform workflows using tools like Zapier, Zoho Flow, or custom PHP/API webhooks.
• Integrate marketing, web, and operational platforms to maintain high data integrity across all systems.

Documentation & Maintenance

• Produce clear, structured technical documentation for custom PHP code, AI prompts, integrations, and automated workflows.
• Proactively monitor, test, and debug existing automations and web infrastructure for speed, security, and reliability.

Requirements

• Strong proficiency in PHP backend web development alongside core frontend technologies (HTML5, CSS3, JavaScript).
• Hands-on experience with the Zoho Ecosystem (Zoho CRM, Zoho Books, Zoho Flow, Deluge scripting).
• Solid understanding of automated invoicing systems, billing logic, and payment gateway integrations.
• Direct experience building AI chatbots and optimizing AI/LLM prompt automation.
• Experience with APIs, webhooks, and custom integration development, as well as no-code/low-code tools (e.g., Zapier, Make).
• Strong understanding of business process mapping, conditional logic, and database management (MySQL or similar).
