Job Summary
The purpose of this position is to plan, coordinate and implement a variety of effective and innovative on-campus recruiting and advising services and programs for prospective domestic students, their parents and counsellors visiting UBC’s Okanagan campus virtually or in-person. This position regularly gives presentations and undertakes group and one-on-one advising to this effect.
This position provides recruitment programs and advising services for secondary and post-secondary school students, parents, educational advocates and counsellors in Canada for the purpose of encouraging qualified prospective students to seek admission to UBC. This position advises students with secondary and post-secondary credentials concerning UBC admission criteria and specific program requirements for admission to UBC undergraduate programs on both campuses. This position support the advancement of Indigenous peoples’ human rights and UBC’s commitment to reconciliation, as articulated and called for by the Truth and Reconciliation Commission of Canada. Foster access, success and representation at UBC of historically underserved, marginalized or excluded populations.
This position is located on the UBC Okanagan Campus.
Organizational Status
Reports to the Manager, On-Campus Recruitment in terms of overall strategy and operations. The position works closely in collaboration with: (a) Student Recruiter-Advisors, Recruitment Marketing Prospective Student Engagement and Admissions staff on the Okanagan and Vancouver campuses of UBC, (b) other staff in UBC Enrolment Services, and (c) other on-campus units (i.e. Faculties, First Nations House of Learning, Indigenous Programs and Services, The Beyond Tomorrow Scholars Program, Centre for Accessibility, International Student Initiative) to support the recruitment, advising, admission and successful transition of students to UBC.
Work Performed
Provides on-campus recruitment programming and advising:
- Develops programs to encourage more prospective domestic students, their parents and counsellors to visit the UBC campuses in-person or explore our campuses virtually. Examples may include but are not limited to customized campus tours, live virtual campus tours, special events (virtual or in-person), sponsored trips for domestic student groups and/or counsellors.
- Develops, plans, and executes strategic special events, which involves event designing, promotion, facility logistics, liaising with internal/external partners, coordinating the involvement of staff / faculty, training and supervising student assistants, and post-event evaluation.
- Advises prospective domestic students and their families visiting the campus.
- Participates in coordinating the design and delivery of campus tours and special on-campus and virtual programs for counsellors.
- Assists in the hiring, training, supervision, and support of Student Ambassadors, Senior Student Ambassadors, co-op students and other student, clerical or event staff.
- Works closely with the Recruitment Marketing and Prospective Student Engagement team and ISI on-campus team to develop an innovative multi-media presentation for use in the campus tour program. May work with the Recruitment Marketing and Prospective Student Engagement team to develop web-based virtual tours for prospective students, and other communication products to promote campus tours and on-campus recruitment activities.
- Collects and maintains data on the origin of on-campus event participants, tracking and assessing patterns of participation, designing and delivering other assessment tools to solicit feedback from event participants to determine levels of satisfaction and overall effectiveness of program in meeting recruitment goals; writing reports and making recommendations for changes and improvements to the Manager, On Campus Recruitment.
- Assists in the overall coordination of the campus tours and on-campus recruitment portfolio.
Performs recruiting and advising services:
- Builds strong relationships and trust with institutions, community organizations, and individuals through effective and inclusive communication with students, parents, educational advocates and counsellors in presentation settings, one-on-one advising, telephone inquiries, email correspondence, social media and online sessions.
- Shares UBC’s commitment to inclusive excellence and the resources available to empower students to achieve their educational goals.
- Provides information on all aspects of academic program options, application, admission, registration, housing, awards and financial assistance, extracurricular activities, campus resources and orientation to UBC.
- Applies knowledge and understanding of complex requirements and policies in making appropriate responses and offering advice based on individual assessment of each situation.
- Represents UBC’s welcoming community and positive engagement with all students, particularly those from systemically marginalized communities
- Prepares and delivers effective presentations to groups, proficiently using multi-media materials and other collaterals to support public presentations.
- Plans and delivers effective group advising sessions in a variety of settings.
- Supports the social media initiatives coordinated by the Recruitment Marketing and Prospective Student Engagement team.
Conducts other related Recruitment and Advising Services:
- Liaises closely with ISI in planning and scheduling activities to ensure those targeted to the domestic student sub-sector are complementary.
- Provides advising services in a professional manner; understanding limits to knowledge, and consulting with the SRA team on complex inquiries or difficult situations that arise; observing confidentiality in relation to UBC data, market intelligence, and other knowledge and information about the University.
- Works proficiently with the Applicant Admissions Portal to obtain information on the status of a student’s inquiry or application for advising purposes. Works proficiently with the CRM system to plan, implement and evaluate on-campus events as well as to communicate with prospects and applicants.
- Adheres to UBC’s policies, particularly UBC’s Travel Policy, and policies on safeguarding security of data and electronic devices; adheres to Freedom of Information and Privacy policies with regard to student advising. Exercises sound judgment and follow departmental protocols for travel safety and communication with the remote office and stewards the University’s property and resources responsibly in carrying out recruitment and advising services when at home and on recruitment assignments.

Consequence of Error/Judgement
This position is responsible for providing effective recruitment services and delivering accurate information about degree programs and admission to the University’s undergraduate faculties. The dissemination of inaccurate information, exercise of poor judgment, without due tact and sensitivity would result in the loss of confidence in UBC by the student, the student’s parents and school counselors and could jeopardize the school’s relationship with UBC. Poor performance in carrying out recruitment and advising services would damage the University’s reputation abroad and at home. Advising students, counselors, and others incorrectly could have serious and costly consequences for the prospective student. Inability to plan and carry out costly activities in a well-organized and professional manner could result in lost opportunities and cost overruns. Poor performance would reflect negatively not only on SRA, but on the University as a whole and would deter international students from choosing UBC thus jeopardizing the University’s ability to meet its student enrolment objectives.
Supervision Received
Works independently without direct supervision but within established guidelines, in close consultation with the Manager, On Campus Recruitment. Works closely and cooperatively with the other recruiter/advisors assigned to the team, as well as with other staff in SRA and Enrolment Services and within the University to meet the goals and objectives of the department. Position is subject to annual performance reviews.

Participates in the hiring, training and supervision of student, clerical and event staff.
Minimum Qualifications
Undergraduate degree in a relevant discipline. Minimum of one to two years of related experience, or an equivalent combination of education and experience

Preferred Qualifications
- Knowledge of University admission criteria, services and resources for domestic students.
- Knowledge of major secondary educational systems would be an asset
- Experience in event planning preferred.
