The role
We are looking for a detail-oriented finance professional to join our Finance team and support a broad range of accounting, supplier management, statutory compliance, audit, and fixed asset activities.
Working closely with the Financial Accountant and wider Finance team, you will help ensure that financial records, transactions, and supporting documentation are accurate, complete, and maintained in line with internal controls and Philippine regulatory requirements. The role will also involve regular coordination with suppliers, internal stakeholders, auditors, banks, and government agencies.
This is a great opportunity for a qualified CPA with audit and accounting experience who is looking to build broader hands-on experience across financial operations, compliance, and reporting within a fast-paced, international organisation.
Key responsibilities
Supplier and Invoice Management
- Verify vendor onboarding requirements and coordinate the creation or update of vendor records.
- Prepare Purchase Requisition (PR) and Purchase Order (PO) requests and follow up on pending approvals.
- Review quotations, supplier invoices, and supporting documents for completeness and compliance with documentation requirements prior to processing.
- Maintain and monitor the filing of supplier invoices, official receipts, and other related documents.
- Assist in preparing payment batches, bank instructions, and supporting documents for supplier, payroll, tax, and other disbursements.
- Coordinate with suppliers and internal stakeholders regarding pending invoices, payment status, and outstanding supporting documentation.
- Request supplier statements and aging reports and reconcile outstanding balances for review.
- Prepare BIR Forms 2307 and maintain related supporting records.
- Assist the Financial Accountant in preparing supplier management and accounts payable-related reports.
Financial Accounting Support
- Prepare routine journal entry templates and supporting schedules for review and posting.
- Prepare assigned balance sheet reconciliation schedules and supporting documentation for review.
- Maintain accounting files, schedules, and records to ensure completeness, accuracy, and proper filing.
- Assist with month-end, quarter-end, and year-end close activities by preparing supporting schedules, documents, and standard reports.
- Extract financial data and prepare standard reports and analyses requested by the Finance team.
Tax and Statutory Compliance Support
- Prepare supporting schedules and documentation required for BIR, PEZA, and other applicable government and regulatory submissions.
- Assist in the preparation of monthly, quarterly, and annual BIR tax returns and supporting schedules for review.
- Maintain tax compliance files and ensure statutory records and supporting documentation are complete and properly organized.
- Monitor documentary requirements and compliance deadlines assigned to the role and follow up on outstanding items.
- Coordinate document requests from government agencies, banks, auditors, and external consultants.
Audit and Internal Control Support
- Organize audit schedules and supporting documents for internal and external audits.
- Coordinate routine audit document requests and follow up with relevant stakeholders on outstanding requirements.
- Ensure accounting records and supporting documentation are complete, properly filed, and readily available for review.
- Assist in monitoring compliance with internal finance policies, controls, and documentation requirements.
- Maintain finance process documentation, checklists, and standard operating procedures.
Administrative and Operational Support
- Coordinate intercompany documentation, approvals, and filing of supporting records.
- Assist stakeholders with expenditure coding requests and finance documentation requirements.
- Track finance-related action items and follow up on outstanding requests with internal and external parties.
- Support finance system administration by maintaining user records, templates, and standard master data, where applicable.
- Participate in process improvement initiatives and special projects assigned by the Finance Manager.
- Perform other finance-related duties as assigned.
Fixed Asset Administration
- Maintain the Company's Fixed Asset Register and supporting documentation, including records of asset additions, disposals, and transfers.
- Prepare fixed asset additions, disposals, transfers, and related documentation for review and recording.
- Prepare PEZA fixed asset reports, applications, and supporting documentation for review and submission within prescribed deadlines.
- Coordinate with PEZA, suppliers, and internal stakeholders regarding fixed asset documentation and compliance requirements.
- Conduct periodic physical verification and inventory counts of fixed assets, identify discrepancies, and prepare reconciliation reports for review.
- Assist in reconciling the Fixed Asset Register against accounting records and physical inventory.
- Coordinate and perform fixed asset tagging and maintain asset identification records.
- Maintain fixed asset files, purchase documentation, importation records, and other supporting documents for audit and regulatory purposes.
- Prepare schedules and supporting documents for fixed asset reviews and audits conducted by internal auditors, external auditors, and government agencies.
Required skills and experience
- Bachelor's degree in Accountancy or a related field.
- Must be a Certified Public Accountant (CPA).
- Must have 2–5 years of relevant work experience in external or internal audit, preferably with exposure to financial statement audits, accounting processes, and internal controls.
- Working knowledge of Philippine accounting and regulatory requirements, including applicable BIR, SEC, and PEZA rules and regulations.
- Experience in general accounting, financial reporting, account reconciliations, and preparation of supporting schedules is preferred.
- Must have experience using financial accounting software and/or ERP systems.
- Advanced MS Excel skills
- Strong analytical skills and attention to detail, with the ability to review financial information and supporting documentation accurately.
- Good written and verbal communication skills and the ability to coordinate effectively with internal and external stakeholders.
- Ability to manage multiple tasks and deadlines in a fast-paced finance environment.
