We’re looking for a thorough, agile administrative assistant to support three executives. This role requires excellent priority management skills and exceptional adaptability to operate in a dynamic, fast-moving work environment. 


You’ll report jointly to three Senior Directors (Programming, News and Current Affairs; Library & Archives; Journalistic Policies). Additionally, you will need to establish and maintain good working relationships with various people reporting to the Executive Director, as well as with other internal and external contacts.


Key tasks:

  • Manage a highly dynamic calendar including frequent meetings and constant changes depending on evolving situations.
  • Sort and follow up emails based on priorities.
  • Manage timesheets.
  • Prepare reports and format presentations.
  • Organize division meetings and follow up files.
  • Plan team support meetings.
  • Manage day-to-day administration, including subscriptions, stationery, expense reports, credit cards and procurement (purchase orders).
  • Manage the inbox for audience complaints (filing, archiving and closely monitoring the complaints dashboard).
  • Draft replies to complaints based on templates and manage multiple replies.
  • Monitor projects, including reviewing Journalistic Standards and Practices and preparing agendas.
  • Communicate with stakeholders (complainants, Ombudsman, Press Council).
  • Conduct documentary research and produce verbatims of distributed content.
  • Organize ethics training.
  • Organize travel for managers.

This role requires full-time on-site presence.


Qualifications/skills:

  • Independent, thorough and meticulous.
  • Ability to handle a multitude of tasks with a high level of accuracy.
  • Excellent priority management and ability to work in an environment characterized by a constant sense of urgency.
  • Ability to draft clear, professional communications.
  • Proficiency with Google Workspace, databases and management tools.

What you bring:

  • Community college diploma in office technology, communications or the equivalent.
  • At least three (3) years’ wide-ranging executive-level administrative support experience.
  • Ability to communicate easily in French and English (spoken and written) is an asset
  • Strong knowledge of Microsoft Office (Word, Excel and PowerPoint) and Google Workspace (Gmail, Calendar, Drive) applications.
  • Ability to stay up to date with various software and IT systems that are continuously evolving.
