This is a hybrid position combining: 

• Executive Assistant & Strategic Partner to Senior Leaders

You will be responsible for ensuring our office operates at a best-in-class standard while also enabling senior executives to operate effectively, strategically, and at scale. This is not a purely administrative role. It requires judgment, discretion, commercial awareness, and the ability to anticipate needs in a dynamic environment. 

Key Responsibilities:

Serve as the operational lead for the Canada office(s) ensuring a seamless and professional experience for employees, clients, and visitors.

Office Operations & Facilities: 

• Oversee day-to-day office operations to ensure a smooth, high-functioning workspace 
• Act as primary liaison with building management, landlords, and service providers 
• Manage office vendors, maintenance, and facilities matters 
• Ensure compliance with workplace standards and health & safety requirements 
• Maintain oversight of supplies, equipment, and office needs  

Workplace Experience: 

• Act as the first point of contact for guests and clients, ensuring a professional and welcoming environment 
• Oversee room bookings, shared spaces, and office logistics 
• Coordinate in-office events, leadership meetings, and high-traffic days 
• Support planning and execution of employee engagement and social events 
• Continuously improve the office environment and employee experience 

Operational Coordination: 

• Partner with Talent, IT, Finance, and Operations teams to support onboarding, offboarding, and general office needs 
• Redirect invoices and correspondence appropriately 
• Support internal communications relating to office matters 
• Identify process improvements and implement scalable solutions as the company grows 

Executive Support: 

• Provide high-level support to selected senior executives, combining operational execution with proactive, strategic partnership. 
• Complex calendar management across multiple time zones 
• Coordinate domestic and international travel 
• Prepare meeting materials, briefing documents, and presentations 
• Manage expense reporting and administrative documentation 
• Draft correspondence and internal communications 

Strategic Partnership: 

• Act as a trusted partner to executives, anticipating priorities and proactively managing competing demands 
• Support planning and tracking of key initiatives and business objectives 
• Help prepare leaders for meetings and client engagements 
• Maintain visibility into strategic priorities and ensure follow-through on action items 
• Serve as a discreet and highly confidential gatekeeper 

Cross-Functional Coordination: 

• Interface with senior stakeholders across the UK, US, and global teams 
• Help drive operational alignment between leadership and execution teams 
• Support special projects and transformation initiatives as required

• Experience in a professional services, corporate, or high-growth environment 
• Prior experience in an office leadership, facilities, executive assistant, or hybrid operations role

Harbor is seeking a Security Analyst to join our internal IT Operations team. This role is responsible for strengthening Harbor’s security posture through proactive vulnerability management, third-party risk management (TPRM), and client-facing security assurance activities. The ideal candidate brings hands-on experience with vulnerability scanning tools (particularly Qualys), strong analytical skills, and the ability to communicate security practices effectively across internal and external stakeholders.

This is a fully remote position located in Canada or the Philippines and must align with United States working business hours (EST).

Key Responsibilities:

Vulnerability Management (Qualys-Focused)

• Administer and operate Qualys for continuous vulnerability scanning across infrastructure, endpoints, and cloud environments
• Analyze scan results, prioritize vulnerabilities based on risk, and coordinate remediation efforts with infrastructure and engineering teams
• Track remediation progress and produce reporting dashboards and metrics for leadership
• Continuously improve vulnerability management processes, including SLAs, exception handling, and risk acceptance workflows

Third-Party Risk Management (TPRM)

• Support and manage the third-party risk lifecycle, including vendor onboarding, assessments, and periodic reviews
• Evaluate vendor security posture using standardized frameworks (e.g., SIG, CAIQ, or equivalent)
• Maintain vendor risk inventory and ensure alignment with internal security policies

Client Security Questionnaires & Assurance

• Own and respond to client security questionnaires, RFPs, and due diligence requests
• Collaborate with internal stakeholders to ensure accurate, consistent, and timely responses
• Maintain a centralized knowledge base of standard responses to improve efficiency and consistency
• Support audits and client security reviews as needed

Security Posture & Governance

• Review, update, and maintain security policies, standards, and procedures
• Identify gaps in current security controls and recommend improvements aligned with industry frameworks (e.g., SOC2, ISO 27001)
• Partner with IT and engineering teams to enhance overall security posture and maturity
• Stay current on emerging threats, vulnerabilities, and best practices

Incident Support & General Security Operations

• Assist in the investigation and response to security incidents and vulnerabilities
• Support internal security initiatives, including awareness, compliance, and risk reduction efforts
• Contribute to continuous improvement of security tooling and processes

Required Qualifications:

• 4+ years of experience in information security, cybersecurity, or a related field
• Hands-on experience with vulnerability management tools (preferably Qualys)
• Experience responding to client security questionnaires or audit requests
• Foundational understanding of network security concepts (firewalls, SIEM, IDS/IPS, endpoint protection)
• Familiarity with risk management principles, including third-party/vendor risk
• Familiarity with M365 Security Tools, Exchange Online Protection, Purview, a plus.

Preferred Qualifications

• Experience with TPRM programs or vendor risk platforms
• Knowledge of security frameworks (ISO 27001, SOC 2)
• Experience with remediation tracking and security metrics/reporting
• Familiarity with penetration testing concepts and vulnerability exploitation techniques

Harbor is seeking Legal Research Librarians (Contract) to join our specialist teams. These contract positions work with our Research & Information Services team and provide high quality research services and work products for our clients. This is a fully remote/virtual opportunity available on a contractual (1099) basis, nationwide. This role will support specific client engagements on a project-by-project basis.  Depending on the project and client, the number of hours and type of work may slightly differ.

Responsibilities:

• Perform high quality in-depth legal, corporate and other research to support the client’s librarians, attorneys, paralegals and staff using a variety of resources 
• Monitor and respond to research requests and coordinate this effort with research team members across all locations 
• Prioritize and respond to requests, analyze and synthesize results, compile answers and communicate research findings in a clear and concise manner 
• Learn and adopt the specific policies and procedures of the client’s law library department

Qualifications:

Harbor is seeking an Analyst to join our dynamic Application Management services team in our Legal Technology & Operations practice. Our team is at the forefront of delivery of a quality service for our clients who have managed services agreements. We have extensive experience in legal processes and technology across several platforms. This role focuses mainly on Intapp solutions but also includes others where integration is essential, e.g. practice management systems, document management systems and external data providers. We serve both as advisors and as experienced, hands-on resources, collaborating with our clients to contain risk and cost through operational improvement, efficient data management, and technology usage. 

As an Analyst, you will be expected to collaborate with senior and junior-level internal resources, as well as clients, to ensure correct prioritization and timely delivery of both a “business as usual” type model for our clients as well as some “continual improvement” tasks. This is a hybrid position, working from our Moncton, New Brunswick office in Canada.

Harbor is seeking a HR Business Partner to join our growing team.  The HR Business Partner (HRBP) serves as a relationship manager with our Harbor employees, managers, and leaders, and will provide holistic HR support to a subset of Harbor’s business units. To be successful in this role you must understand business priorities and translate them in a way that influences employee engagement and performance.  A data driven approach will be taken to help leaders navigate areas of concerns, improve performance, retention and most important of all – employee engagement and experience. This role reports into the Vice President of Talent and is a hybrid position, working from our Moncton, NB office in Canada.
