Role Overview: Workplace Operations Specialist

The Workplace Operations Specialist will coordinate workplace services, manage vendors, support space planning and office moves, help oversee office amenities and events, and partner closely with property management, security, building engineers, and service providers.

This is a highly visible, hands-on individual contributor role for someone who enjoys solving problems, managing multiple priorities, and taking ownership of the details that make a corporate workplace successful.

Responsibilities

  • Serve as a primary point of contact for employee workplace requests, ensuring issues are addressed promptly and employees receive clear communication throughout the process.
  • Conduct regular workplace and brand walks to ensure office spaces consistently meet CoStar Group standards for appearance, presentation, cleanliness, safety, and employee experience.
  • Partner with property management, building engineers, security, vendors, and service providers to identify and resolve workplace and facilities issues.
  • Manage workplace vendors, monitor service quality, address performance issues, obtain proposals, coordinate building access, and maintain service documentation.
  • Support seating assignments, occupancy tracking, new-hire workspace readiness, team changes, and office moves in partnership with the portfolio move manager.
  • Coordinate employee communications related to workplace services, office moves, operational updates, and workplace projects.
  • Support office improvements and renovation projects, including activity tracking, vendor coordination, and communication of workplace impacts.
  • Coordinate office services and amenities, including meeting rooms, employee hospitality, and food and beverage service quality in partnership with service providers.
  • Coordinate internal office events with event organizers and third-party providers, confirming schedules, space requirements, and service arrangements.
  • Submit purchase orders, coordinate invoice processing, track expenses, and assist with workplace budgets and forecasts.
  • Maintain accurate seating plans, vendor records, workplace documentation, and operational reporting.
  • Assist the Director of Corporate Real Estate with building ownership matters and services impacting CoStar Group’s workplace and shared building areas.

Basic Qualifications

  • Bachelor’s degree from an accredited, not-for-profit college or university.
  • Three or more years of experience in corporate office operations, workplace services, facilities coordination, corporate services, or a related environment.
  • Experience managing vendors and coordinating with employees, property management, building engineers, security, or other building service teams.
  • Strong organizational, communication, and problem-solving skills with demonstrated ability to manage competing priorities and follow through to resolution.
  • Proficiency with Microsoft Office.
  • Ability to work in our Arlington, Virginia office Monday through Friday.

Preferred Qualifications

  • Experience supporting workplace operations within a large corporate office, headquarters, commercial real estate environment, or other high-touch professional workplace.
  • Experience coordinating office moves, seating assignments, space planning, or occupancy tracking.
  • Experience with purchase orders, invoice processing, expense tracking, or budget support.
  • Demonstrated experience identifying workplace or service issues proactively and driving them through resolution.
  • Strong customer-service mindset and ability to communicate effectively with employees, executives, vendors, and building-service partners.
  • Highly organized and detail-oriented, with the ability to shift priorities quickly in a fast-paced environment.
  • Collaborative and hands-on approach with a strong sense of ownership and accountability.
