The company has grown rapidly since it was founded over 25 years ago and currently has around 500 staff working across nine European offices (Amsterdam, Berlin, Brussels, Cologne, Dublin, London, Madrid, Paris and Prague). The Role

This is a part-time role, anticipated at 60–80% of full-time hours and spread across five days on site in our London office to provide consistent support throughout the working week. There is some flexibility around the precise daily working pattern.

We are seeking a motivated Workplace Assistant to join our team in London with a focus on workplace operations and front of house support. The successful candidate will help to ensure a consistently high standard of service across the day-to-day running of the office and reception services.

We are looking for someone with a proactive and flexible attitude, excellent attention to detail, strong organisational skills, the ability to multi-task and a genuine team spirit. You need to feel comfortable dealing with people at all levels and enjoy collaborating with a team of colleagues to help us creating and maintaining a secure, safe and comfortable working environment.

Job Description

The Workplace Assistant will be part of our Facilities Team, managed by the Facilities Manager. This is a hands-on role, and you are expected to support the Facilities Manager in the day-to-day running of the office and delivery of workplace services. There will also be tasks that contain some manual work and lifting so please ensure that you are comfortable with that.

The key areas of responsibility are:

Workplace Operations

  • Carry out daily workplace checks and report or resolve issues where appropriate.

  • Undertake regular practical workplace tasks, including moving and setting up furniture, equipment and office supplies, and assisting with office moves and room reconfigurations.

  • Ensure meeting rooms, collaboration spaces and breakout areas remain fully operational and presentable

  • Check workplace supplies and replenish stock

  • Assist with contractor visits and liaise with building management where required

  • Raise and track facilities helpdesk requests

  • Assist with office recycling and sustainability initiatives

  • Help maintain storage areas and stationery rooms

  • Assist with office inventories and asset tracking

  • Undertake Fire Warden and/or First Aider training and provide support in these roles where required

Reception & Administration support

  • Welcome visitors and provide reception cover during holidays, sickness and other periods of absence.

  • Answer and transfer incoming telephone calls where required.

  • Deal with incoming and outgoing mail, courier and deliveries.

  • Book and prepare meeting rooms.

  • Support our conferences, seminars, events and away days.

Essential Requirements

  • Experience within customer service, hospitality, office administration or a similar support role would be advantageous.

  • Comfortable undertaking regular practical and manual handling tasks associated with the role, including moving furniture, equipment and office supplies.

  • Friendly, approachable and professional manner.

  • Excellent organisational skills and attention to detail.

  • A proactive attitude and willingness to get involved in a wide variety of tasks.

  • Strong communication skills and confidence dealing with colleagues, clients and visitors.

  • Comfortable using Microsoft Office applications.

  • Reliable, flexible and able to work effectively as part of a team.
