Position Summary:
Reporting to the Associate Director, Clinical Student Affairs, the Student Affairs Manager ensures stable, effective, and consistent support to their assigned clinical education programs/courses, in accordance with accreditation standards. The Student Affairs Manager ensures the continuity of quality support, supervises and supports student affairs staff, and contributes to the development and implementation of tools and initiatives related to administrative support for clinical educational activities.
Primary Responsibilities:
- Participate in relevant SoM educational governance meetings (e.g. FPGEC)
- Foster effective working relationships with Program/Course Directors to ensure smooth operations for PGME and UGME activities.
- Hold regular meetings with Program/Course Directors to:
- Direct supervision of student affairs staff.
- Hold regular meetings with individual staff members to:
- Participate in staffing processes, including interview process, and recommendations on candidates.
- Participate in onboarding of new staff and evaluate and assess needs for training for employees. Conduct performance evaluations and make assessments and recommendations on trial period /probationary period performance.
- Ensure regular touch points between the administrator and the Program/Course Director
- On an ongoing basis, support consistent understanding of centralized workflows and tools, discuss and resolve issues.
- Participate in SoM Clinical Student Affairs team meetings to:
- Participate in the development of the Clinical Student Affairs knowledgebase.
- Participate in preparation for accreditation activities for assigned programs
- Lead and/or participate in quality assurance and quality improvement initiatives
- Provide oversight for activities related to resident match ensuring compliance with timelines, policies, and documentation standards.
Other Qualifying Skills and/or Abilities
Minimum 5 years of experience in an administrative, academic, healthcare, or student affairs environment. Demonstrated experience supervising staff, including coaching, mentoring and performance management. Proven ability to delegate work effectively, manage workloads, and ensure operational continuity across a team. Experience in recruitment, onboarding, and training activities. Strong leadership, organizational, and decision-making skills. Excellent interpersonal and relationship-building skills, with the ability to collaborate with diverse stakeholders. Strong project management and process improvement skills. Ability to manage multiple priorities in a complex, fast-paced environment. Excellent verbal and written communication skills in English and French.
