Key Responsibilities
Support the development and growth of the agency business by identifying and securing new customers.
Manage end-to-end port call operations, from pre-arrival arrangements through to Final Disbursement Account (FDA) closure.
Handle vessel clearance requirements, including ICA applications, pilotage bookings, transmission messages, and MPA Digiport submissions.
Prepare quotations and provide tailored solutions based on customer requirements.
Monitor vessel movements and ensure timely, accurate, and proactive communication with principals, ship owners, charterers, and relevant stakeholders.
Maintain strong relationships with principals through responsive communication and regular operational updates.
Ensure compliance with Ships Agency procedures, QHSSE standards, statutory regulations, and company policies.
Respond promptly to customer and stakeholder enquiries, ensuring a high level of service excellence.
Coordinate crew changes, technician boarding, launch/service boats, transportation arrangements, and other vessel support activities.
Arrange and oversee the delivery of ship spares, stores, and provisions.
Liaise with suppliers, contractors, port authorities, and service providers to ensure smooth vessel operations.
Monitor operational costs and drive cost-effective solutions while maintaining service quality.
Ensure accuracy, efficiency, and timely completion of all operational and documentation requirements.
Support and manage other shipping agency operational activities as required.
Requirements
Diploma or Bachelor's Degree in Maritime Studies, Shipping, Logistics, Supply Chain Management, Business Administration, or a related field.
Minimum 2-5 years of experience in shipping agency, vessel operations, port operations, or maritime logistics.
Knowledge of port call processes, vessel documentation, customs and immigration procedures, and maritime regulations.
Experience with MPA Digiport, pilotage bookings, and vessel clearance procedures will be an advantage.
Strong commercial awareness and ability to develop customer relationships and identify business opportunities.
Excellent communication and stakeholder management skills with the ability to work effectively across multiple parties.
Strong problem-solving skills and ability to make sound operational decisions under pressure.
Highly organized with strong attention to detail and accuracy.
Proficient in Microsoft Office applications, particularly Excel, Outlook, and Word.
Ability to work independently in a fast-paced operational environment and manage multiple priorities simultaneously.
Willingness to be available outside standard office hours when operational requirements demand.
