The Senior Bilingual Analyst, Lease & Maintenance Administration is responsible for supporting the administration and interpretation of retail leases across Québec and Atlantic Canada.

The role acts as a key liaison between landlords, store operations, internal business partners, insurance adjusters, contractors, and other stakeholders to resolve property and maintenance matters, confirm lease responsibilities, manage costs, and support ongoing store operations.

The successful candidate will have strong lease interpretation, problem-solving, negotiation, and relationship-management skills.

Key Accountabilities

Lease Administration & Landlord Relations

  • Act as the primary contact for landlord-related repair and maintenance matters, including roofing, drainage, water infiltration, asphalt, structural issues, leased premises, and common areas.

  • Interpret lease provisions and provide guidance to landlords, store teams, District Managers, Maintenance, insurance adjusters, and other stakeholders regarding repair and maintenance responsibilities.

  • Review landlord chargebacks and capital expenditures to confirm responsibility, cost-sharing, and amortization requirements under the lease.

  • Review structural, engineering, and geotechnical reports and ensure landlord obligations are addressed where applicable.

  • Obtain landlord approvals for alterations, improvements, or additions to leased premises.

  • Maintain strong working relationships with landlords, store teams, contractors, municipal officials, and internal business partners.

Property & Maintenance Issue Resolution

  • Respond to store inquiries and property-related concerns, assess issues, and coordinate appropriate corrective action.

  • Partner with Lease Administration, Maintenance, Real Estate, Construction, Legal, Finance, and other teams to resolve complex or ongoing property matters.

  • Ensure significant unresolved lease or property issues are appropriately documented, including for Estoppel requests related to refinancing or property sales.

  • Support timely resolution of urgent property issues that may impact store operations.

Insurance & Risk

  • Work with third-party insurance adjusters on property damage and liability claims.

  • Interpret lease responsibilities related to property damage and insurance matters.

  • Coordinate with landlord representatives, adjusters, engineers, and contractors to support repairs following property damage.

  • Support stores with required incident reporting to Risk Management.

  • Participate in legal or discovery proceedings related to property claims when required.

Store Closures & Lease Surrenders

  • Manage store closures and lease surrender activities in accordance with lease requirements.

  • Coordinate contractors for the removal of fixtures, improvements, and repairs required before returning premises to the landlord.

  • Arrange final landlord walkthroughs and ensure spaces are returned in the required condition.

  • Coordinate inspections and emergency contact information for closed locations where lease obligations remain in place.

Landbank & Multi-Tenant Properties

  • Oversee owned Landbank properties, including vacant land and buildings.

  • Arrange required inspections, landscaping, maintenance, and service contracts.

  • Work with third-party property managers to support the effective operation of company-owned multi-tenant properties.

  • Respond to tenant inquiries and coordinate corrective action where required.

  • Review maintenance responsibilities related to medical clinic subleases and other applicable tenant agreements.

Qualifications & Experience

  • Bilingual proficiency in French and English, written and verbal, is required.

  • 3–5+ years of experience in lease administration, commercial property management, real estate, or a related field.

  • Post-secondary education in Real Estate, Business Administration, Legal Studies, or a related discipline.

  • Strong understanding of commercial leases, repair and maintenance obligations, CAM-related costs, and property matters.

  • Familiarity with building systems such as roofing, HVAC, drainage, and life-safety systems.

  • Experience working with landlords, contractors, insurance adjusters, legal teams, and internal business partners.

  • Strong analytical, negotiation, communication, and problem-solving skills.

  • Ability to manage multiple priorities and complex files in a fast-paced environment.

  • Strong organizational skills and ability to work both independently and collaboratively.

  • Willingness to travel within the province as required.

  • Will require evening/ overnight availability in case of emergency.

Hiring Range / Échelle salariale à l’embauche :
