We are seeking a highly motivated, customer-oriented, and results-driven Rental Agent to join our Rentals Team. This position reports directly to the Rental Supervisor/Manager and plays a key role in delivering outstanding customer service while maximizing vehicle rental opportunities.

Core Objective of the Role

The Rental Agent is responsible for assisting customers throughout the vehicle rental process, from reservation and vehicle handover to return and final billing. The successful candidate will ensure a seamless customer experience while maintaining high standards of professionalism, efficiency, and accuracy.

Core Responsibilities

Customer Service & Rental Operations

·       Assist customers with vehicle rental inquiries, reservations, and bookings.

·       Explain rental policies, rates, insurance coverage, and terms and conditions.

·       Process rental agreements accurately and efficiently.

·       Conduct vehicle inspections during pickup and return, documenting vehicle condition.

·       Ensure vehicles are clean, roadworthy, and ready for customer use.

·       Handle customer concerns and resolve issues professionally and promptly.

·       Promote additional products and services to enhance the customer experience.

Fleet Coordination

·       Coordinate vehicle availability to maximize fleet utilization.

·       Monitor vehicle movements and maintain accurate rental records.

·       Report vehicle damages, maintenance requirements, or operational issues promptly.

·       Liaise with service and maintenance teams to ensure vehicles remain in optimal condition.

·       Assist in coordinating vehicle deliveries and collections when required.

Sales & Business Development

·       Identify opportunities to increase rental revenue through upselling and cross-selling.

·       Build and maintain positive relationships with individual and corporate customers.

·       Follow up on inquiries and reservations to achieve rental targets.

·       Support marketing initiatives and promotional campaigns aimed at growing the rental business.

Administrative & Financial Responsibilities

·       Process customer payments and prepare daily cash and transaction reports.

·       Maintain accurate customer records and rental documentation.

·       Ensure compliance with company policies, rental procedures, and insurance requirements.

·       Prepare periodic operational and performance reports as required.

·       Assist with inventory and fleet-related administrative duties.

Qualifications

·       Associate Degree or Certificate in Business Administration, Customer Service, Hospitality, or a related field.

·       Minimum of two (2) years' experience in customer service, sales, vehicle rental operations, or a similar role.

·       Valid driver's license with a clean driving record.

·       Proficiency in Microsoft Office applications.

·       Experience using rental management software would be an asset.
