About the Role:
A well-established, family-owned and operated fire protection and security systems business based in Port Macquarie, NSW, with over 30 years of experience servicing the Mid North Coast region, is seeking a dedicated Job Scheduler / Coordinator.
The business supports more than 2,000 locations across a wide range of industries, including aged care, schools, major retailers, high-rise residential buildings, and government infrastructure. Its services cover fire safety, fire alarm and detection, security/CCTV, and communications.
The Job Scheduler / Coordinator will play a central role in the day-to-day field operations, booking and coordinating jobs through Uptick, matching the right technician to each job based on skill set, experience, and location, and ensuring the overall schedule runs efficiently.
Key Responsibilities
- Job Scheduling & Coordination (Primary Focus)
- Book and schedule jobs for the field team within Uptick
- Allocate jobs to staff based on skill set, experience level and location, ensuring the right technician is matched to the right job
- Estimate realistic job durations based on the scope of work, to build an efficient and achievable daily/weekly schedule
- Reschedule and rearrange jobs as priorities shift, technicians become unavailable, or urgent work comes
- Keep technicians' schedules organised and up to date, minimising gaps and unnecessary travel between jobs where possible
- Liaise with technicians and customers to confirm appointment times and any changes
General Support
- Maintain accurate job and scheduling records within Uptick
- Communicate proactively with the management team on scheduling conflicts, capacity issues or at-risk jobs
- Take on other administrative and operational support tasks as directed by management
Requirements
Required Skills & Experience
- Either: hands-on fire services/fire protection industry experience, giving a genuine understanding of job scope, durations and the skills required for different job types; OR proven job scheduling/dispatch experience in a trades or field-service environment (non-negotiable)
- Strong organisational skills and the ability to manage a busy, changing schedule across multiple technicians and jobs at once (non-negotiable)
- Strong communication skills when liaising with technicians, customers, and management regarding appointments and schedule changes
- Experience using job management, scheduling, CRM, or field-service software; ability to quickly learn new systems such as Uptick
- Strong attention to detail in maintaining accurate job, scheduling, and customer records
- Ability to identify scheduling conflicts, capacity issues, and at-risk jobs and proactively communicate these to management
- Excellent multitasking, time-management, and problem-solving skills in a fast-paced operational environment
- Experience providing administrative and operational support to management and field teams
- Professional and confident communication style with a strong customer-service focus
