Front of House & Event Coordinator (m/w/d)

About the Role

We're seeking an engaging Front of House & Event Coordinator who excels at creating exceptional visitor experiences while managing seamless facility operations and memorable corporate events.

Your Responsibilities

Reception & Visitor Management

• Serve as primary point of contact for all visitors, staff, and contractors at the front desk
• Manage deliveries and mailroom services
• Control vendor and visitor access management including security logs and badge systems
• Create a warm, professional atmosphere reflecting our client's brand
• Handle incoming communications and direct inquiries appropriately

Event Coordination

• Plan, organize, and execute on-site events, meetings, and corporate functions
• Manage event logistics from conception through delivery
• Collaborate with global events team to ensure consistency and excellence
• Coordinate catering, room setups, and technical requirements

Facility Operations

• Process and monitor approximately 200 customer reports annually
• Support site manager with building maintenance and vendor coordination
• Conduct safety inspections and ensure regulatory compliance
• Manage asset inventory and procurement processes

Administrative Excellence

• Support facilities budget tracking and identify cost-saving opportunities
• Champion sustainability and energy-efficiency initiatives
• Coordinate cross-functional facility improvement projects
• Manage vendor relationships and service level agreements

What You Bring

• 3-5 years experience in facilities management, front of house, event coordination, or similar role
• Fluency in German and English (written and spoken)
• Proficiency in Google Suite applications
• Strong organizational and project management skills
• Excellent interpersonal and communication abilities
