The Executive Assistant to COO conserves COO's time and promotes the corporate image by representing the COO internally and externally, acting as liaison between the COO, key executives, board members and employees.Provides high-level support to the COO and their executive team members. Acts as an extension of the office of the COO by conducting research, preparing reports and other confidential materials, as well as communicating with board members and executives. Duties are highly confidential and require comprehensive knowledge of Alignment Healthcare’s policies, procedures, and operations. Responsibilities require discretion, independent judgment, confidence, tact, and poise.
Job Responsibilities:
Represents the COO by welcoming visitors, reviewing correspondence; arranging company dinners and other corporate functions; answering questions and meeting requests directed to the COO and their team.
Accountable for the execution of Office of the COO meetings to include: Booking and planning the meeting schedule, assembling meeting materials, distributing information to executive team members, taking notes during the meetings, and distributing follow-up materials. Demonstrates professionalism, sound judgment, and the ability to handle sensitive and confidential information while interacting with executives, board members, and external stakeholders.
Helps ensure continuity and consistency by providing historical context, prior decisions, and organizational background information when requested by executives.
Arranges corporate travel and meetings by developing itineraries and agendas; booking air/ground transportation; arranging lodging and meeting accommodations.
Completes projects and special assignments by establishing objectives; determining priorities; managing time; gaining cooperation of others; monitoring progress; problem-solving; adjusting plans.
Updates job knowledge by participating in educational opportunities; reading professional publications; maintaining personal networks; participating in professional organizations.
Improves quality results by studying, evaluating, and re-designing processes, implementing changes.
May act as meeting recorder, summarizing action items precisely and following up on them.
Identifies opportunities to improve administrative and operational processes and assists with implementation of approved improvements.
Supports the COO and executive leadership team through professional communication, effective stakeholder coordination, and high-quality administrative execution by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments.
Delivers accurate, timely, and high-quality administrative support while meeting established deadlines and service expectations.
Handles more complex administrative duties including intricate calendaring and travel arrangements.
Conducts research to assist executives with inquiries or issues.
Maintains the confidentiality of sensitive business, financial, personnel, strategic, and organizational information while exercising sound judgment and discretion in handling executive matters.
Demonstrates full competence in own area of work, including excellent organizational skills.
Often works without significant guidance.

Minimum Requirements:

Minimum Experience:
Minimum (5) years' progressively responsible executive administrative support experience, preferably supporting senior executives or C-suite leaders.
Education / Licensure:
High school diploma or equivalent required. Associate's or Bachelor's degree preferred.
Other:
Strong written and verbal communication skills, including preparation of executive correspondence, meeting materials, and professional stakeholder communications.
Excellent customer relations and organizational skills as well as excellent understanding of office practices and procedures.
Travel logistics / meeting management Skills
Advanced knowledge of Microsoft Office suite including Excel and PowerPoint.
Presentation Skills.
Task-oriented with an excellent sense of priority, logic, objectivity and confidentiality.
Demonstrated ability to manage competing priorities, shifting deadlines, and multiple executive requests in a dynamic business environment.
Demonstrate a significant ability for discretion and confidentiality in the handling of sensitive issues, plus have strong organizational and problem-solving skills.
Able to travel periodically to Alignment Health offices and business locations as needed to support executive meetings, leadership events, strategic planning activities, and other business requirements. Travel to the Orange, California headquarters is expected on an occasional basis and may range from approximately quarterly to monthly depending on business needs.

Pay Range: $85,696.00 - $128,543.00Pay range may be based on a number of factors including market location, education, responsibilities, experience, etc.
