Assistant Manager - Soft Services

Job Summary: We are seeking a proactive and detail-oriented Assistant Soft Services Manager to support the daily operations of our facility's non-technical services. In this role, you will assist in overseeing critical workplace services, including housekeeping, security, landscaping, waste management, and catering. You will work closely with the Soft Services Manager to ensure all vendor operations meet strict quality standards, comply with health and safety regulations, and provide a safe, clean, and welcoming environment for all employees and visitors.

Key Responsibilities:

• Vendor & Contractor Management: Assist in monitoring the performance of third-party vendors to ensure strict adherence to Service Level Agreements (SLAs) and Key Performance Indicators (KPIs).
• Quality Assurance & Audits: Conduct regular site walkthroughs, inspections, and audits to ensure the highest standards of cleanliness, hygiene, and overall facility upkeep are maintained.
• Health & Safety Compliance: Ensure all soft service activities comply with local environmental, health, and safety regulations. Assist in conducting risk assessments and completing incident reports.
• Operational Support: Support the coordination of mailroom operations, reception, cafeteria/catering services, and meeting room or event setups.
• Customer Service: Act as a point of contact for employee or tenant requests, addressing and resolving complaints or facility issues promptly and professionally.
• Reporting & Administration: Assist in tracking departmental budgets, verifying vendor invoices, and managing inventory for soft services supplies. Prepare routine operational performance reports for senior management.
• Team Leadership: Supervise on-site support staff and vendor teams, provide necessary guidance or training, and foster a culture of excellent customer service.

Qualifications and Requirements:

• Education: Bachelor’s degree in Facility Management, Business Administration, Hospitality, or a related field.
• Experience: 2–4 years of proven experience in facility management, hospitality, or corporate soft services operations.
• Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint). Experience with Computer-Aided Facility Management (CAFM) systems, Workday, or Helpdesk ticketing software is highly preferred.
• Soft Skills: Strong interpersonal and written communication skills, excellent problem-solving abilities, high attention to detail, and a customer-centric mindset.
