The salary is determined in accordance with the University’s compensation structure and will be commensurate with the candidates’ education and experience, within the assigned salary range for this position.
The Administrative Associate III position works under general supervision of the Political Science Department Head and provides complex administrative support work to the Department of Political Science.
Responsibilities:
- Provides administrative assistance to the Department Head of Political Science, (and Dean's office when needed); provides clerical support and manages daily routine tasks; greets and assists students and the general public, sets appointments and maintains the Department Head’s calendar. Monitors documents to ensure accuracy, compliance, and timely submission; reviews incoming and outgoing documents and submits for Department Head’s approval. Supervises student workers and maintains office files (personnel, student, and general documents). Makes daily copies of all signed documents; reimbursements.
- Initiates personnel actions in Workday; routinely interacts with Banner; provides the Department Head with Banner data for registration, course scheduling and graduation; enters data into the Banner System, reviews, and corrects data in Banner INB and Panthertracks; builds the Department's course schedule in Banner after the Department Head submits the course schedules; enters overrides in the system upon approval from the Department Head; monitors mid-term and final missing grades and provide status reports to the Department Head and the Dean’s office; works closely with the Registrar and Course Scheduler to interpret and disseminate information regarding Banner procedures to the faculty within the departments.
- Compiles and submits graduation audits; copies and files graduation audits; distributes graduation letters and flyers provided by the Department Head or Dean’s office. Assists with graduation activities as well luncheons, receptions, and other department-related activities.
- Serves as Time and Effort Coordinator; compiles, reviews, and submits time and effort to responsible faculty for certifications to the Office of Research & Innovation; serves as Records Retention Coordinator; maintains and destroys records to ensure compliance with records retention policies and procedures.
- Performs other duties as assigned.
Required Education and Experience:
- High school diploma
- Three years of related experience.
Required Knowledge, Skills and Abilities:
- Knowledge of word processing, spreadsheet, and database applications.
- Ability to multitask and work cooperatively with others.
- Strong verbal and written communication skills.
- Ability to work with sensitive information and maintain confidentiality.
- Strong interpersonal and organizational skills.
Preferred Qualifications:
- Knowledge of Banner and Panthertracks systems.
