About this Wellness Intake Specialist & Care Coordinator role at SuperStaff
We are seeking a compassionate and relationship-driven Wellness Intake Specialist & Care Coordinator to serve as the first point of contact for prospective patients.
This role is ideal for someone who genuinely enjoys helping others, builds trust naturally over the phone, and is confident guiding individuals through one of the most important decisions they can make—taking the first step toward improving their mental health.
Many of the people you'll speak with may feel anxious, overwhelmed, or uncertain about starting therapy. Your ability to create a warm, supportive, and reassuring experience while confidently helping them move forward is what will make you successful in this role.
While healthcare knowledge is helpful, we are primarily looking for someone with exceptional emotional intelligence, consultative communication skills, and a genuine interest in mental health and wellness.
Responsibilities
- Serve as the first point of contact for prospective and existing patients through phone, text, and email.
- Build trust and rapport with callers by creating a welcoming and supportive experience.
- Listen carefully to understand each patient's concerns, goals, and needs.
- Guide patients through the intake and enrollment process with empathy and confidence.
- Explain available treatment options and next steps in a clear and compassionate manner.
- Encourage prospective patients to schedule consultations and begin their care journey.
- Handle questions and objections with professionalism while helping patients feel comfortable moving forward.
- Verify insurance eligibility and explain benefits when applicable (training provided).
- Schedule consultations and follow-up appointments.
- Maintain accurate patient records within the CRM and scheduling systems.
- Coordinate with clinical staff regarding patient needs and concerns.
- Conduct follow-up and wellness check-in calls to support patient engagement.
- Ensure every interaction reflects compassion, professionalism, and a patient-first experience.
Requirements
- Around 3 years of experience in consultative phone sales, patient intake, customer success, healthcare customer service, or similar phone-based roles.
- Proven ability to build trust and rapport with customers or patients over the phone.
- Experience handling phone conversations that require empathy, relationship-building, and objection handling.
- Comfortable guiding prospective patients or customers toward scheduling appointments, enrolling in programs, or making informed decisions.
- Excellent spoken and written English with a neutral or minimal accent.
- Experience in healthcare, behavioral health, or wellness environments.
- Patient intake, sales, or care coordination experience.
- Experience with consultative or solution-based selling.
- Experience using CRM systems such as GoHighLevel, Salesforce, HubSpot, Zoho, or similar platforms.
- Experience handling insurance-related conversations with patients or customers.
- Experience coordinating with clinical staff or care teams regarding patient or customer needs.
- Eligible to work in Ayala Makati or Pampanga.
Preferred Qualifications
- Knowledge of insurance verification, benefits, or revenue cycle processes.
- Knowledge of ketamine therapy, Spravato, or other mental health treatment modalities.
