Position Summary:

Are you highly organized, detail-oriented, and excited to grow your career in Human Resources? We are looking for a Talent Acquisition Coordinator to help support the recruiting, onboarding, and staffing efforts that bring great people into the organization.

This is a fantastic opportunity for someone who enjoys keeping things moving, creating a great candidate experience, working behind the scenes to support a busy team, and learning the many moving parts of Talent Acquisition and HR. In this role, you will help candidates, new hires, hiring managers, and the HR team stay organized, informed, and supported throughout the hiring process.

What You’ll Be Responsible For[1]:

As the Coordinator, Talent Acquisition, you will play an important role in supporting recruiting and HR operations, including:

Recruiting Support

  • Keep candidate information accurate and up to date in the Applicant Tracking System and other tracking tools.
  • Maintain weekly candidate status reports.
  • Update and organize offer letter templates in the HR library.
  • Support the administration of background checks, drug testing, and other pre-employment steps.

New Hire Experience

  • Prepare and send offer packages.
  • Support new hire announcements.
  • Order new hire welcome baskets.
  • Help create a warm, organized, and professional onboarding experience.
  • Build and schedule new hire orientations, including individual and department meetings.
  • Keep the master orientation schedule updated and accurate.

Interview Coordination

  • Coordinate candidate interview schedules with hiring teams.
  • Help manage candidate travel and related logistics.
  • Write and send candidate follow-up correspondence.
  • Make sure candidates have a smooth, polished, and positive experience throughout the process.

HR and Talent Program Support

  • Maintain job descriptions for existing positions.
  • Coordinate and administer assessments.
  • Support the internship program by contacting local universities and gathering requirements for unpaid HR support internships.
  • Create and maintain templates, trackers, and reports for internship program administration.

Invoice and Administrative Support

  • Process candidate expenses, testing invoices, advertising invoices, and job board invoices.
  • Support the broader HR team with invoices and expense management.
  • Help maintain employee files and documentation related to HR practices and employee transactions.
  • Provide ad hoc reporting and database support.
  • Assist with HR programs such as open enrollment, performance management, employee relations, and other team initiatives.

Other Responsibilities

  • Jump in on additional HR and Talent Acquisition projects as needed.

What Sets This Role Apart:

This role is perfect for someone who loves details, organization, follow-through, and people. You will get hands-on exposure to recruiting, onboarding, HR operations, reporting, internships, employee programs, and the day-to-day work that helps an HR team run smoothly.

You will be part of the first impression candidates and new hires have of the company —helping create a thoughtful, professional, and welcoming experience from the very beginning. For someone who wants to build a strong foundation in HR and Talent Acquisition, this is a great place to learn, contribute, and grow.

What You Bring:

  • Bachelor’s degree.
  • Experience in an office setting, preferably in HR or administrative support.
  • Experience with an Applicant Tracking System or HRIS is helpful but not required.
  • Experience using Microsoft Teams or similar platforms such as Zoom, Google Meet, or WebEx.
  • Membership in a local or school-based SHRM chapter, or aPHR certification, is a plus.

  • Excellent attention to detail.
  • Strong Microsoft Office and Outlook skills, including PowerPoint, Excel, and Word.
  • Visio experience is a plus.
  • Strong organizational and time-management skills.
