About this Sales Assistant role at Remote Raven

Position Overview
We are looking for a detail-oriented and tech-comfortable Sales Assistant to provide remote administrative and quoting support to our sales team. This is a fast-paced support role that works closely with the owner and sales consultant to keep quotes moving, documentation organized, and the sales process running efficiently from behind the scenes.
A significant portion of this role involves real-time support during the sales process — including taking dictation while the salesperson is on the road, entering measurements and notes from field photos, and building quotes in Solatach, our quoting software. The right person picks things up quickly, has excellent attention to detail, and is comfortable being on a call while capturing information accurately under time pressure.
Key Responsibilities:
Quoting & Data Entry — Primary Function (Will train)
• Build and start quotes in Solatach, the company's quoting and sales platform, based on information provided by the sales team
• Enter measurement data from photos of field measure sheets submitted by the salesperson after client consultations
• Input product selections, window measurements, pricing details, and other job specifications accurately into the quoting system
• Review completed quotes for accuracy and completeness before they are presented to clients
• Maintain organized quote records and assist with updating or revising quotes as job details change
Real-Time Dictation Support
• Join phone calls with the salesperson while they are driving between appointments to take live dictation and enter information in real time
• Capture measurement notes, client details, product selections, and other job information accurately during these calls
• Confirm back what was entered to ensure nothing was missed or misunderstood
• This requires strong listening skills, fast and accurate typing, and the ability to ask quick clarifying questions without slowing down the process
Documentation & File Management
• Receive and process photos of measure sheets submitted from the field and transcribe the information into the appropriate systems
• Organize and maintain job documentation including client photos, measure sheets, quote versions, and order records
• Ensure all documentation is filed clearly and retrievable for reference throughout the job lifecycle
Solatach Software Support
• Learn and become proficient in Solatach for quoting, data entry, and order management
• Training on Solatach will be provided — comfort with learning new software quickly is essential
• Support the sales team in getting the most out of the platform as the role develops
General Sales Support
• Assist the owner and sales consultant with day-to-day administrative tasks that support the sales process
• Help track the status of quotes, pending orders, and follow-ups to keep the pipeline organized
• Communicate clearly and responsively with the sales team throughout the day via phone, text, or messaging
Required Qualifications
• Strong attention to detail — measurement data and product specifications must be entered accurately every time
• Fast and accurate typing skills — real-time dictation support requires keeping up with spoken information quickly
• Comfortable learning new software independently — Solatach training will be provided, but you should be someone who picks up new platforms with ease
• Excellent listening skills — you will be capturing information over phone calls in real time, often while the salesperson is multitasking
• Organized and reliable — documentation and quote records need to be consistently maintained and easy to find
• Professional and responsive communicator — you will be working closely with the owner and sales team throughout the day
• Reliable remote setup with high-speed internet and a quiet workspace for call-based work
