The Opportunity
Job classification: P2043 - Project Coordinator
Salary range: $76,000-$80,000. Placement within the range is typically based upon a review of skills, experience, and internal equity.
Hours per week: 37.5
Paid leave: 4 Weeks Vacation / 14 Flex Days per year

Reporting to the Manager, Systems and Reporting, this role provides coordination, reporting, and system support within the Office of the Registrar’s Systems, Data and Digital Transformation (SDDT) portfolio.
The position works closely with Business Analysts, OTR leaders, and cross-functional stakeholders to coordinate intake processes, support project and reporting activities, and maintain operational systems and tools. The incumbent ensures that work is organized, documented, and aligned with established governance processes, while supporting the day-to-day execution of operational and institutional initiatives.
In addition to coordination responsibilities, the role contributes to reporting and analytics support, system and tool maintenance, and process documentation, helping to ensure that reporting outputs, workflows, and technical environments remain accurate, consistent, and sustainable. This position supports continuous improvement by identifying and documenting opportunities to enhance processes, reporting practices, and system usage within defined frameworks.
How you'll contribute
Business Analyst Coordination & Intake Support
Coordinate intake, setup, and tracking of requests within established governance processes
Support the management of work queues, sprint cycles, and ticket workflows using designated tools
Facilitate regular team activities such as intake discussions, sprint check-ins, and retrospectives
Ensure intake and ticket documentation is complete, structured, and aligned with established standards
Support the preparation of recurring operational reports and status updates
Maintain and update reporting templates, trackers, and supporting documentation
Project Coordination & Documentation Support
Provide coordination support for OTR initiatives, ensuring activities, timelines, and deliverables are tracked
Lead OTR Banner upgrade activities, including tester training, test cycle setup, test script maintenance, UAT planning and coordination and cutover execution
Assist with preparation and maintenance of project and process documentation (e.g., summaries, plans, process maps)
Assist with stakeholder communications related to project updates and coordination activities
Contribute to maintaining consistent use of templates, documentation standards, and establishedprocesses
Reporting & Analytics Support Activities
Support review and testing of operational reports (e.g., Argos and dashboard outputs) to ensure accuracy and usability
Assist with updates and refinements to existing reports, including minor enhancements and issue resolution
Document report definitions, data sources, and usage guidance to support consistency andknowledge sharing
Systems & Tools Support
Provide day-to-day support for OTR system and reporting tools (e.g., access requests, basic troubleshooting)
Support maintenance of systems and reporting tools and environments (e.g., organizing assets, tracking updates, coordinating changes)
Assist in identifying and documenting system issues, and coordinating resolution with appropriate teams
What you bring
Minimum:
Diploma or degree in Business, Information Systems, Project Management, Data Analytics, or a related field, or equivalent experience
2–3 years of experience in a coordination, operations, or analyst-support role
Experience supporting reporting activities, data tracking, or system/tools coordination
Strong organizational skills with attention to detail and the ability to manage multiple tasks and deadlines
Demonstrated ability to follow structured processes and maintain accurate documentation
Effective communication and interpersonal skills, with the ability to work collaboratively across teams
Preferred:
Experience in a post-secondary or complex administrative/regulatory environment
Familiarity with project coordination, business analysis support, or service management practices
Experience supporting reporting tools and processes (e.g., Excel, dashboards, reporting platforms such as Argos)
Exposure to enterprise or student information systems (e.g., Banner)
Experience supporting system access processes, user support, or basic troubleshooting
Awareness of institutional policies, data governance, and privacy considerations
