The Opportunity
Job classification: P2043 - Project Coordinator
Salary range: $76,000 - $80,000. Placement within the range is typically based upon a review of skills, experience, and internal equity.
Hours per week: 37.5
Paid leave: 4 Weeks Vacation / 14 Flex Days per year

Reporting to the interim Manager, Scheduling Operations & Governance, the Operations Analyst, Scheduling provides coordination and project support within the Curriculum and Scheduling teams in the Office of the Registrar (OTR), Systems, Data and Digital Transformation (SDDT) portfolio.
The role supports operational coordination, roadmap activities, and project delivery, with a focus
on the Projects & Continuous Improvement Office (PCIO)-enabled Enterprise Booking and
Scheduling project as well as the SDDT portfolio-driven Integrated Enrolment Planning,
Operationalization, and Governance project (IEPOG). Responsibilities include process mapping,
stakeholder engagement, documentation, and analysis to support workflow optimization and
governance alignment.
The incumbent ensures work is organized and aligned with established processes while
contributing to continuous improvement initiatives. The role also provides limited operational
scheduling support to assist team capacity and build practical knowledge of scheduling processes.
How you'll contribute
Project Coordination & Roadmap Support
For the Enterprise Booking & Scheduling institutional project, and portfolio roadmap
initiatives (incl. IEPOG and Scheduling group business sustainment & governance activities)
Coordinate project activities, timelines, and deliverables
Support project documentation, reporting, and stakeholder communications
Organize meetings, working sessions, and follow-ups
Track risks, issues, and action items
Business Analysis & Process Mapping Support
Document current and future state processes, including workflows and data flows
Facilitate stakeholder discussions and gather requirements
Identify process gaps, inefficiencies, and governance risks
Support development of process improvements and recommendations
Operational Coordination & Team Support
Support coordination of team activities, priorities, and documentation
Maintain trackers, templates, and reporting inputs
Assist with status updates and operational reporting
Support adherence to governance processes and standards
Scheduling Operational Support
Provide support for basic scheduling activities (e.g., room booking)
Assist during peak periods to support team capacity
Develop working knowledge of scheduling systems and processes
What you bring
Minimum:
Diploma or degree in Business, Project Management, Operations, Information Systems, or related field, or equivalent experience
2–3 years of experience in project coordination, operations, or analyst-support roles
Experience in process documentation, workflow analysis, or project support
Strong organizational, communication, and time management skills
Demonstrated ability to work within structured processes and maintain accurate documentation
Preferred:
Education or experience in business analysis (e.g., process mapping, requirements gathering)
Experience in a post-secondary or complex institutional environment
Familiarity with scheduling or timetabling processes
Exposure to enterprise systems and tools (e.g., Banner, scheduling platforms, reporting tools)
Experience supporting governance or continuous improvement initiatives
