Overview

An office should be more than a place with desks - it should be somewhere people feel welcome, connected, and ready to do their best work.

As our Office Manager (f/m/x), you will be the person who makes that happen in our Vienna office. You will own the everyday workplace experience, keep operations running smoothly, and bring internal and external events to life. From supporting our team and leadership to coordinating with venues, suppliers, and external partners, you will make sure the details are covered and the bigger picture comes together.

We are looking for someone who does not wait for a task list. You notice what is needed, take ownership, communicate with confidence, and turn ideas into action. You bring structure when things get busy, calm when plans change, and positive energy wherever you go. 🚀

Working hours: Full-time, 35 hours per week with every second Friday off!

Your Tasks 🪄

• Own the office experience: Keep our Vienna workplace organised, welcoming, safe, and ready for action - from workstations and meeting rooms to equipment, supplies, and everyday operations.
• Bring events to life: Plan and coordinate internal and external events from idea to execution, including venues, catering, schedules, equipment, and all the details that make an event memorable.
• Be our trusted go-to person: Support employees and leadership with practical requests, travel, logistics, visits, and meetings, always with care, discretion, and reliable follow-through.
• Build strong partnerships: Communicate confidently with vendors, venues, service providers, and other external stakeholders, making sure expectations are clear and commitments are delivered.
• Keep everything moving: Solve problems before they become bigger ones, stay calm when priorities change, and make sure meetings, events, and office operations run seamlessly.
• Make good things even better: Proactively spot opportunities to improve our workplace, processes, systems, and employee experience.

Your Profile 🌟

• You are fluent in German and English, both written and spoken
• You bring strong experience in office management, workplace operations, or a similarly hands-on role
• You are proactive by nature, you see what needs to happen and take action without waiting to be asked
• You are confident, outgoing, and comfortable communicating with employees, leadership, vendors, and external partners
• You know how to balance warmth and care with decisiveness and clear expectations
• You have experience coordinating events and enjoy turning plans into experiences people remember
• You are highly organised and can manage several moving parts without losing sight of the details
• You stay calm, practical, and solution-oriented when plans change or something unexpected comes up
• You take ownership seriously and are known for following through on what you promise
• You are comfortable supporting leadership with professionalism and attention to detail
• Most importantly, you genuinely care about people and enjoy creating an environment where they feel supported and connected 💚

At Eversports, we believe in transparency, so here is the fine print: for the current position we will offer a yearly gross salary of EUR 42,000 (based on a full-time basis of 35h)
